The Store & Dispatch Assistant supports day-to-day warehouse operations including inward, outward, material handling, stock updates, documentation, packing, and dispatch coordination.
The role demands accuracy, discipline, strong follow-ups, and end-to-end understanding of stock flow.
KEY RESPONSIBILITIES (DETAILED)1. Inward Material Handling
Receive incoming materials as per Purchase Orders.
Check physical quantity vs Invoice/PO/GRN.
Inspect packaging, expiry (if applicable), and product condition.
Report any mismatch/damage to Store Manager.
Assist in preparing
Goods Receipt Note (GRN)
manually and in Tally.
Label and bin materials correctly after inward.
2. Outward & Dispatch Operations
Pick materials as per Sales Orders/Dispatch plans.
Follow
FIFO
while issuing items.
Assist in packing, sealing, and labeling materials for dispatch.
Prepare Delivery Challan (DC) under guidance.
Coordinate with drivers and transporters during loading.
Ensure correct items and correct quantity are dispatched.
3. Stock Management & Bin System
Maintain proper bin location for each SKU.
Arrange materials neatly on racks.
Update stock cards and internal register.
Identify low-stock items and inform Store Manager.
Assist in weekly cycle counting and monthly stock audit.
Report stock variance and missing items immediately.
4. Tally & Documentation Support
Assist in Tally entries related to inward (GRN) and outward.
Maintain daily inward/outward register.
Maintain physical files of:
PO File
GRN File
DC File
Invoice File
Maintain digital backup folders as per department SOP.
5. Dispatch Coordination
Match invoice + DC + transport documents.
Ensure packaging quality before dispatch.
Coordinate with transporter for vehicle timing.
Update Dispatch Manager once material leaves premises.
Share dispatch details (LR No., transport name) with Sales team.
6. Safety & 5S Implementation
Follow store-level safety norms (PPE, fire safety, floor safety).
Keep store area clean, organized, and hazard-free.

Communicate with Purchase Team about inward issues.
Communicate with Sales Team regarding dispatch updates.
Update Store Manager on daily stock status.
Report any emergency, delay, or stock shortage promptly.
Prepare end-of-day MIS: Inward/Outward Summary.

QUALIFICATIONS
Minimum 12th Pass / Graduate preferred
1-3 years of experience in store/dispatch/warehouse operations
Tally knowledge will be an advantage
