The Store & Purchase Executive is responsible for managing all store operations, ensuring proper receipt, storage, and issuance of materials, along with handling purchasing activities. The role ensures cost-effective procurement of quality materials, accurate stock management, vendor coordination, and compliance with company policies and standards.
Key Responsibilities:
Store Management:
Maintain proper records of incoming and outgoing materials.
Ensure timely receipt and storage of goods as per standard procedures.
Conduct regular stock checks and maintain minimum stock levels.
Monitor expiry dates, damages, and wastage to minimize losses.
Issue materials to concerned departments against approved requisitions.
Maintain cleanliness and safety standards in the store.
Purchase Management:
Identify and evaluate suppliers/vendors for quality and cost-effectiveness.
Obtain quotations, prepare comparative statements, and negotiate prices.
Raise purchase orders and ensure timely delivery of materials.
Develop and maintain vendor relationships to ensure consistent supply.
Coordinate with user departments to understand requirements and specifications.
Track purchase orders and follow up with suppliers for on-time deliveries.
Inventory & Documentation:
Update and maintain inventory records in software/manual registers.
Prepare and submit daily/weekly/monthly stock reports to management.
Ensure all documentation is as per company policies and audit requirements.
Assist in monthly/annual physical stock verification.
Cost & Compliance:
Ensure purchases are within budget and follow company approval procedures.
Monitor and control pilferage, misuse, or overconsumption of stock.
Adhere to statutory and company procurement guidelines.
Key Skills & Competencies:
Strong knowledge of storekeeping and purchasing processes.
Negotiation and vendor management skills.
Good communication and interpersonal abilities.
Proficiency in MS Office and inventory management software (IDS, SAP, or similar).
Attention to detail, accuracy, and organizational skills.
Knowledge of F&B and hotel-related consumables (preferred for hospitality industry).
