Job Summary
We are seeking a detail-oriented and proactive
Staffing & Practice Operations Coordinator
to support recruitment, staffing, BT/RBT supervision, Passage Health management, and administrative functions. This role plays a vital part in ensuring that our recruitment, HR, and practice management teams operate smoothly while upholding a commitment to diverse staffing and efficient clinical support.
Key Responsibilities include but are not limited to:
1. Daytime Support (9 AM - 5 PM US
Provide reliable coverage and coordination during U.S. business hours.
2. Recruitment Support
Post new job openings and refresh existing postings on job boards.
Screen incoming resumes and flag top candidates for review.
Schedule interviews and confirm details with candidates and hiring managers.
Complete reference checks for shortlisted candidates.
Maintain accurate records in the Applicant Tracking System (ATS), cleaning up missing or misplaced data.
Perform checks and balances to verify recruitment activities are accurate, compliant, and aligned with company standards.
3. Staffing & Supervision
Maintain and update the daily staffing calendar across insurance, school, and BIS/PCT programs.
Send timely reminders to supervisors for documentation completion.
Flag supervision hour gaps for leadership review.
4. District & External Communication
Draft professional responses to district requests for staffing and services.
Track pending district requests and follow up on outstanding items.
Prepare concise meeting notes and send summaries to the HR/Operations lead before district calls.
5. Passage Health Inquiries
Log new Passage Health inquiries and assign follow-up tasks to the team.
Monitor inquiry resolution status and flag overdue or incomplete items.
6. Administrative & HR Support
Assist the Recruitment and HR teams with documentation, compliance checks, and onboarding support.
Provide general administrative support to practice management projects.
Contribute to building a diverse, well-supported, and compliant workforce.
Qualifications
2+ years of experience in HR, recruitment support, or administrative coordination.
Strong organizational and multitasking skills; ability to manage calendars, trackers, and multiple priorities.
Excellent written and verbal communication skills.
Proficiency in Indeed & ATS/HR tools.
Experience in healthcare or education-based organizations is preferred.
Ability to handle sensitive employee and client information with confidentiality.
