About the Role:
Capillary Technologies is seeking an experienced and highly motivated HR Operations Head to lead and optimize our HR operational functions. This critical role will be responsible for ensuring the efficient, accurate, and compliant execution of all HR operational processes, including HRIS management, payroll administration, regulatory compliance, and new employee onboarding. The ideal candidate will be a strategic thinker with a strong hands-on approach, capable of building scalable processes and leveraging technology to enhance the employee experience.
Key Responsibilities:
1. HRIS Management & Data Analytics:
Oversee the full lifecycle management of the HR Information System (HRIS), ensuring data integrity, accuracy, and security. Drive the continuous improvement and optimization of HRIS functionalities, including configuration, upgrades, and new module implementations (e.g., performance management, learning & development modules). Develop and maintain HR dashboards and metrics to provide insights into HR operations, employee trends, and workforce analytics. Collaborate with IT and other departments to ensure seamless integration of HRIS with other business systems. Ensure compliance with data privacy regulations (e.g., GDPR, local data protection laws).
2. Payroll Administration:
Lead and manage the end-to-end payroll process for all employees, ensuring timely and accurate processing, including salaries, bonuses, commissions, and deductions. Oversee payroll reconciliation, tax filings (TDS, PF, ESI, professional tax, etc.), and year-end reporting. Partner with finance and external payroll vendors to ensure compliance and efficient operations. Stay updated on all relevant payroll laws and regulations to ensure compliance and mitigate risks. Implement and refine payroll policies and procedures to ensure accuracy and efficiency.
3. Compliance & Governance:
Ensure Capillary Technologies' HR practices and policies are in full compliance with all applicable local, state, and federal labor laws and regulations (e.g., Factories Act, Shops and Establishments Act, Gratuity Act, Minimum Wages Act, POSH, etc.). Conduct regular audits of HR processes and documentation to ensure adherence to internal policies and external regulations. Manage and respond to all HR-related audits, inspections, and inquiries from regulatory bodies. Develop and implement HR policies and procedures in line with best practices and legal requirements. Stay abreast of changes in employment legislation and proactively advise on necessary adjustments to policies and practices.
4. Onboarding of New Employees:
Design, implement, and continuously improve a seamless and engaging onboarding experience for all new hires. Oversee the entire onboarding process, including offer letter generation, background checks, document collection, HRIS data entry, new hire orientation, and IT/system access coordination. Develop and deliver comprehensive onboarding programs that acclimate new employees to Capillary's culture, values, and systems. Collaborate with hiring managers and relevant departments to ensure a smooth transition for new employees. Track and analyze onboarding effectiveness and identify areas for improvement.
5. Team Leadership & Development:
Lead, mentor, and develop a high-performing HR operations team. Foster a culture of continuous improvement, accountability, and customer service within the HR operations function. Allocate resources effectively and manage workloads to ensure timely and accurate delivery of services. Conduct performance reviews and provide constructive feedback to team members.
6. Employee Lifecycle Management:
Oversee all aspects of the employee lifecycle from hire to exit, including changes in employment status, transfers, promotions, and separations. Ensure accurate and timely maintenance of employee records. Manage offboarding processes, including exit interviews, full and final settlements, and benefits termination.
7. Vendor Management:
Manage relationships with external HR vendors, including HRIS providers, payroll providers, background verification agencies, and compliance consultants. Evaluate vendor performance and ensure service level agreements (SLAs) are met.
Qualifications:
Bachelor's degree in Human Resources, Business Administration, or a related field. Master's degree preferred. 10+ years of progressive experience in HR operations, with at least 3-5 years in a leadership role managing HRIS, payroll, compliance, and onboarding functions.
Proven experience in managing HR operations for a technology company, preferably a SaaS or product-based organization.
In-depth knowledge of Indian labor laws, regulations, and statutory compliance requirements.
Extensive experience with HRIS implementation, management, and optimization (experience with specific HRIS platforms like Darwinbox, Workday, SAP SuccessFactors, or similar is a plus).
Strong understanding of payroll processes, tax regulations, and accounting principles.
Demonstrated ability to design and implement effective HR policies and procedures.
Excellent analytical and problem-solving skills with a data-driven approach.
Exceptional communication, interpersonal, and stakeholder management skills.
Ability to thrive in a fast-paced, dynamic, and growth-oriented environment.
Strong attention to detail and a commitment to accuracy.
Proficiency in Excel/Google sheet.
