1.NDC Reconciliation

? Co-ordinate with Operations/Procurement/Vendor(if needed) and collect NDC from all vendors acorss PAN India.

? Prepare NDC reconciliation file and submit to Finance Lead.

2.Transport & Cafetaria Usage by JLL Team members

? Collect the T & C usage by JLL team members at Sites by the Site SPOC.

? Collect the T & C file from JLL Corporate team (extract from payroll) and validate if the amount charged to employee is the same as confirmed by Site SPOC.

? Any discrepency identified, follow-up and have it fixed and ensure the employee and Finance Lead is communicated on this discrepency pro-actively.

3.Open PO Report

? Extract & share Open PO report to Site Leads/Cluster Lead weekly and get the reasons for all aged Open PO's.

? Follow-up with Ops. Team until closure of aged Open PO's.

? Publish the Open PO report to Finance Lead with justification for aged Open PO's weekly. 4.Petty Cash Recon

? Publish the Petty Cash Custodian list to Finance Lead with details of the custodian status, amount, bills submitted, balance of petty cash amount.

? Ensure if any petty cash custodian is moving out of the account/quiting JLL, all relevant bills are collected and acccounted in JDE books and the petty cash provided to the custodian is deposited back to JLL account.

? Upon custodian surrendering the petty cash, the email copy of confirmation from FSC/JBS team on receipt of petty cash amount to be saved in Sharepoint.

5.Advance Payments Recon

? All requests for advance payment, approval from Finance Lead to be taken prior to payment release.

? The request for approval, to have details like reason for advance payment, when is the service/goods expected to be delivered/tentative date the vendor would submit the invoice, approval from client to release advance payment.

? Tracker of advance payments to be shared with Finance Lead every fortnightly.

6.Vendor Payments

? Collect the Open AP report from FSC and select invoices which are due for payment.

? Submit the request for pay release to JBS team and ensure the payments are released on time to vendors.

? Ensure all MSME vendors are paid within 45 days as per the regulation.

? If there are any failed payments, communicate to vendor/Operations/Procurement team & Finance Lead on such failed payments with reasons.

7.Code/ID Creation & Access to JLL applications

? Get the BU/Contract/project ID created for all new sites timely.

? Raise request to grant access for any new users of CAAPS/JDE by seeking approval from Finance Lead.

? Follow-up with FSC team & user and ensure the required access is granted and available for the user to execute their work.

8.JLL Expense Accrual

? Prepare expense accrual basis open PO and inputs from the team.

? Review the accruals with Finance lead.

? Submit the accruals to FSC team for posting in JDE.
