Role Overview
The
Sales Support and Office Administrator
is a pivotal position responsible for maintaining the smooth operation of our office and providing essential administrative support to the sales team. This role requires a blend of strong organizational skills, meticulous data management (MIS), lead generation, and client conversion efforts.
Key Responsibilities
Sales Support & Business Development:
Management Information Systems (MIS):
Maintain and update the client database, sales pipeline reports, and all relevant MIS with a high degree of accuracy and confidentiality.
Lead Generation:
Proactively research and identify potential new clients and business opportunities through various channels (online research, databases, etc.).
Client Conversion:
Assist the sales team in converting leads into paying clients by preparing proposals, coordinating meetings, following up on communications, and handling necessary documentation.
Client Relationship Management:
Act as a key point of contact for client queries, ensuring professional and timely communication and directing complex issues to the appropriate team member.
Office Administration:
General Office Management:
Oversee the day-to-day operations of the office, ensuring a clean, organized, and functional work environment.
Supply Management:
Monitor and maintain office inventory, ordering supplies, and managing vendor relationships.
Documentation & Filing:
Handle all office correspondence, filing, and maintain an organized system for contracts, invoices, and other vital documents.
Team Support:
Provide administrative assistance to all staff, including scheduling, travel arrangements, and preparing presentations or reports as needed.
Qualifications
Experience:
Proven experience 1-3 years in sales support, office administration, or a related role.
Education:
Bachelor's degree preferred, or equivalent practical experience.
Technical Proficiency:
Advanced knowledge of
Microsoft Office Suite
(Word, Excel, PowerPoint) and experience with
CRM software
(e.g., Salesforce, HubSpot) or similar MIS tools.
Communication:
Excellent verbal and written communication skills with a professional demeanor.
