Scope of Work for Senior Accounts



Position:

Senior Accounts Executive

Department:

Accounts/Finance

Reports To:

Finance Manager / Chief Financial Officer (CFO)

1. Financial Management & Reporting:



Monthly/Quarterly Financial Reports:

Prepare and review financial statements, including Profit & Loss accounts, Balance Sheets, and Cash Flow statements. Ensure accurate and timely submission of financial reports to management for review and decision-making. Coordinate with external auditors for annual audits and facilitate the preparation of audit reports.

Reconciliation:

Conduct monthly bank and account reconciliations to ensure that all records are accurate. Reconcile vendor and customer ledgers, ensuring any discrepancies are identified and resolved.

Taxation and Compliance:

Ensure timely and accurate filing of GST returns, TDS returns, and other statutory filings as per regulatory requirements. Keep up to date with tax laws and ensure compliance with applicable local, state, and national tax regulations.

2. Tally Prime Expertise:



Tally Prime Management:

Oversee the management of the Tally Prime software, ensuring that all entries, transactions, and data are accurately recorded. Regularly update the system to reflect changes in accounting policies or company operations.

Data Entry & Reconciliation in Tally Prime:

Supervise the entry of daily financial transactions such as purchases, sales, expenses, receipts, and payments. Ensure all financial data is properly categorized and reconciled in Tally Prime.

Reports Generation:

Generate required financial reports from Tally Prime, including balance sheets, profit & loss statements, trial balances, and GST reports. Customize Tally Prime reports as needed to meet specific business or management requirements.

3. Team Handling & Leadership:



Team Supervision & Management:

Lead and manage a team of junior accountants or accounts assistants, ensuring their tasks are completed on time and with accuracy. Provide training and guidance on accounting procedures, Tally Prime usage, and best practices. Assign tasks to the team, monitor progress, and ensure deadlines are met.

Performance Management:

Conduct regular performance evaluations for team members. Provide feedback and set development goals for the team, offering support where necessary to help them meet their targets.

Team Coordination:

Act as the point of contact between the finance team and other departments (e.g., Sales, Procurement) to resolve any accounting-related issues. Ensure smooth communication within the team and with other departments to streamline accounting operations.

4. Budgeting & Financial Forecasting:



Budget Preparation:

Assist in the preparation of annual budgets and financial forecasts based on company goals and historical data. Track and compare actual financial performance against the budget, providing variance analysis and suggestions for improvement.

Cost Control:

Monitor and control costs to ensure they align with the budget. Identify areas for cost savings and suggest measures to improve the financial efficiency of the organization.

5. Accounts Payable & Receivable:



Vendor Management:

Oversee the accounts payable process, ensuring all vendor invoices are processed in a timely manner and payments are made according to terms. Resolve any discrepancies with vendors and ensure proper documentation for all payments.

Customer Invoicing & Receivables:

Supervise the invoicing process for clients and ensure accurate tracking of accounts receivable. Coordinate with the collections team to ensure timely collection of outstanding payments.

6. Internal Controls & Auditing:



Internal Controls:

Ensure strong internal controls are in place to safeguard company assets and prevent financial mismanagement or fraud. Review and strengthen internal accounting processes and procedures to improve efficiency and compliance.

Audit Support:

Assist in internal and external audits, providing necessary documentation and support to auditors. Implement any necessary changes or improvements based on audit findings.

7. Financial Strategy & Business Insights:



Business Analysis:

Provide financial analysis and insights to support business decision-making, including margin analysis, cost analysis, and profitability assessments. Work closely with management to align financial strategies with overall business goals.

Cash Flow Management:

Monitor and manage the company's cash flow, ensuring adequate liquidity for operations. Forecast cash requirements and assist in maintaining a balance between receivables, payables, and working capital.

Skills & Qualifications:



Education:

A degree in Accounting, Finance, or related fields (CPA, CA, or similar qualification preferred).

Technical Skills:

Expertise in

Tally Prime

accounting software. Proficiency in Microsoft Office (Excel, Word, PowerPoint). Knowledge of statutory requirements, including

GST

,

TDS

, and

Income Tax

regulations.

Experience:

Minimum 5-7 years of experience in accounting, with at least 2 years in a senior or supervisory role. Proven experience in handling a team and managing complex accounting functions.

Soft Skills:

Strong leadership, communication, and interpersonal skills. Ability to work under pressure and meet tight deadlines. Strong attention to detail and a commitment to accuracy. Analytical mindset with the ability to interpret financial data.
