Planning & Documentation Specialist



Department:

[Senior Manager/Director]



Position Overview:

Responsible for developing, maintaining, and coordinating comprehensive planning processes and documentation systems to support organizational objectives. This role ensures accurate project planning, regulatory compliance, and knowledge management across multiple initiatives.



Key Responsibilities:

Planning Functions:



Develop detailed project plans, timelines, and resource allocation strategies for assigned initiatives



Coordinate cross-functional planning activities and facilitate stakeholder alignment



Monitor project progress against established milestones and identify potential risks or delays



Prepare feasibility studies and impact assessments for proposed developments or changes



Support budgeting and forecasting processes with data-driven planning insights



Documentation Management:



Create and maintain comprehensive project documentation, including specifications, procedures, and compliance records



Establish documentation standards and templates to ensure consistency across teams



Manage document version control and ensure accessibility for relevant stakeholders



Prepare reports, presentations, and executive summaries for leadership review



Maintain regulatory filing requirements and ensure adherence to industry standards



Process Improvement:



Analyze existing planning and documentation workflows to identify efficiency opportunities



Implement best practices for project management methodologies



Collaborate with IT teams to optimize digital documentation systems



Train team members on planning tools and documentation protocols



Required Qualifications:



Bachelor's degree in Business Administration, Project Management, or related field



3-5 years experience in planning, project coordination, or documentation management



Proficiency in project management software (Microsoft Project, Smartsheet, etc.)



Strong analytical and organizational skills with attention to detail



Excellent written and verbal communication abilities



Experience with regulatory compliance and documentation standards



Preferred Qualifications:



Project Management Professional (PMP) certification



Experience in real estate, construction, or facilities management



Advanced Excel skills and database management experience



Familiarity with document management systems and workflow automation
