Job Summary
The Spares Executive is responsible for managing spare parts operations, including inventory control, ordering, receiving, issuing, billing, and ensuring the availability of required parts for workshop and counter sales. The role ensures smooth coordination between the service, sales, and inventory teams.
Key Responsibilities1. Inventory Management
Maintain optimum stock levels and ensure availability of fast-moving parts.
Conduct daily/weekly/monthly stock audits.
Track ageing stock and initiate liquidation plans.
Ensure proper storage, labelling, and binning of all spare parts.
2. Procurement & Ordering
Raise purchase orders for required parts based on consumption and stock levels.
Coordinate with vendors, OEMs, and distributors for timely delivery.
Monitor price changes, new parts introductions, and discontinued items.
3. Receiving & Issuing
Receive parts, verify quantity, quality, and invoice details.
Update stock inward/outward entries in DMS/ERP.
Issue parts to technicians as per job card requirements.
Manage counter sales for walk-in customers.
4. Billing & Documentation
Prepare and verify billing for spare parts and accessories.
Maintain proper documentation for purchase, stock, and sales.
Ensure accurate entry in DMS/ERP and maintain daily reports.
5. Workshop Coordination
Coordinate with service advisors and technicians to provide required parts on time.
Monitor workshop job cards and ensure parts availability for scheduled jobs.
6. Customer Handling (Counter Sales)
Assist customers with part selection and provide product knowledge.
Upsell accessories and related parts.
Handle customer queries, complaints, and follow-up.
7. Reporting
Prepare daily parts consumption report, stock report, GRN report, ageing stock report, etc.
Assist management with monthly MIS reports.
Skills & Competencies Required
Knowledge of spare parts, accessories, and automobile components.
Hands-on experience with DMS/ERP (OEM-specific systems preferred).
Strong communication and customer service skills.
Good understanding of inventory control and stock management.
Basic billing and documentation knowledge.
Ability to work under pressure & meet workshop deadlines.
Qualification & Experience
Education:
Any Degree / Diploma in Automobile / Mechanical preferred.
Experience:
1-3 years in spare parts department (Automobile dealership preferred).
