Greet customers politely and professionally when they arrive.
Listen carefully to customer concerns, complaints, and requirements.
Record customer details, vehicle details, and service history in the system.
Educate customers on periodic maintenance, genuine Mahindra spares, and value-added services.
2. Job Card Preparation
Prepare job cards accurately with all customer complaints and observations.
Mention additional checks required (brakes, clutch, tires, oil, etc.).
Get customer approval/signature before starting work.
3. Workshop Coordination
Communicate job card details to workshop technicians.
Coordinate with spare parts incharge for availability of required parts.
Monitor job progress and ensure work is completed within the promised time.
Update customers on additional repairs/costs if found during service.
4. Costing & Estimation
Prepare and explain service estimates to customers.
Ensure transparency in billing - parts, labor, and taxes.
Take customer approval before carrying out additional work.
5. Delivery & Feedback
Check quality of work before delivery (vehicle cleanliness, all jobs completed).
Explain the work carried out, replaced parts, and maintenance tips.
Hand over the invoice and collect payment.
Take customer feedback and ensure customer satisfaction.
6. Documentation & Records
Maintain proper records of job cards, customer complaints, invoices, and warranty claims.
Ensure warranty jobs are processed as per Mahindra guidelines.
Update service history in the DMS (Dealer Management System).
7. Customer Retention & Relationship
Follow up with customers for service reminders and pending jobs.
Handle complaints professionally and escalate if required.
Build long-term customer trust by promoting genuine Mahindra spares and services.
Key Skills Required
Good communication skills (English, Tamil/local language).
Technical knowledge of Mahindra tractors/two-wheelers/vehicles.
Customer handling and problem-solving ability.
Knowledge of DMS/CRM software.
