1. Job Summary
The Spare Parts Manager is responsible for managing the complete spare parts operations of the two-wheeler dealership. This includes inventory planning, stock control, procurement, vendor coordination, billing accuracy, and ensuring timely availability of parts to the workshop and retail customers. The manager ensures smooth operations, high customer satisfaction, and optimal stock levels while minimizing costs.
2. Key Responsibilities
A. Inventory Management
Maintain optimum inventory levels based on workshop demand, market trends, and OEM guidelines.
Monitor fast-moving and slow-moving stock; take timely action to avoid shortages or excess.
Conduct regular stock audits and cycle counts.
Ensure proper storage, safety, and cleanliness of the spare parts area.
B. Procurement & Vendor Coordination
Place orders with OEM and approved vendors based on consumption and forecasts.
Follow up for timely deliveries and resolve supply-related issues.
Negotiate pricing and improve purchase terms whenever possible.
C. Workshop & Customer Support
Ensure quick and accurate issuance of parts to technicians.
Support the service team in completing jobs efficiently by ensuring parts availability.
Attend to retail customers, understand their requirements, and provide the correct parts.
D. Billing & Documentation
Ensure accurate billing of parts issued to the workshop and retail counter.
Manage GRNs, purchase invoices, and maintain all records properly.
Coordinate with accounts for payment, credit notes, and reconciliations.
E. Sales & Target Achievement
Achieve monthly spare parts sales targets--workshop, retail, and accessories.
Promote add-on parts, lubricants, and accessories to increase revenue.
Implement offers and schemes provided by OEMs.
F. Team Management
Supervise storekeepers, counter sales staff, and helpers.
Provide product and process training to the team.
Ensure discipline, safety, and compliance within the parts department.
G. Reporting & Analysis
Prepare daily, weekly, and monthly reports on stock, sales, and consumption.
Analyse inventory ageing, shortages, and fast-moving items.
Implement improvement measures to reduce dead stock and enhance parts turnover.
3. Skills & Qualifications
Graduate or Diploma holder (Automobile/Mechanical preferred).
Minimum 2-5 years' experience in spare parts management (two-wheeler industry preferred).
Strong knowledge of two-wheeler parts, catalogues, and inventory systems.
Proficiency in DMS (Dealer Management System) / ERP software.
Good communication, negotiation, and leadership skills.
Strong analytical ability and customer-oriented approach.
