Position: Executive - Spare Parts
Reporting to:
Parts Manager
Qualification and Experience:
Any graduate (preferable diploma or be in mechanical or automobile)
Industry:
Commercial Vehicle / Passenger Vehicle industry
Key Responsibilities:
1) Inventory Management:
Monitor and manage parts inventory levels to ensure adequate stock for service and repair needs. Conduct regular inventory audits and reconciliations to maintain accuracy.
2) Ordering and Procurement:
Place orders for parts and components based on usage trends, forecasts, and service demands. Establish and maintain relationships with suppliers to ensure timely deliveries and favourable terms.
3) Receiving and Inspection:
Oversee the receiving process for incoming parts, ensuring that they match order specifications and are free from damage. Document discrepancies and initiate returns for defective or incorrect parts.
4) Storage and Organization:
Organize and maintain parts storage areas to optimize accessibility and efficiency. Implement systems for tracking parts movement, including barcoding or inventory management software.
5) Sales Support:
Collaborate with service advisors and technicians to ensure the availability of necessary parts for scheduled repairs and services. Assist in the sales of parts to customers, providing information on product features and compatibility.
6) Customer Service:
Address customer inquiries regarding parts availability, pricing, and compatibility. Provide recommendations for parts and accessories based on customer needs.

Documentation and Record Keeping:
Maintain accurate records of parts purchases, sales, and inventory levels. Prepare reports on inventory turnover, parts usage, and supplier performance for management.
8) Cost Control:
Monitor and manage parts costs to help maintain profitability within the service department. Identify opportunities to reduce costs through bulk purchasing or supplier negotiation.
9) Training and Development:
Train staff on parts management processes, inventory systems, and best practices. Stay updated on industry trends, new products, and vehicle technologies to enhance parts knowledge.
10) Collaboration with Service Team:
Work closely with the service department to understand parts needs and support repair and maintenance operations. Participate in meetings to discuss parts-related issues and improve operational efficiency
