Role Summary



The Spare Parts Executive is responsible for the efficient and profitable management of the spare parts inventory. This role ensures the timely availability of genuine parts to support the service workshop, counter sales, and internal showroom needs, while maintaining accurate stock records and optimizing inventory levels.

Key Responsibilities

1. Inventory Management and Control

Stock Maintenance:

Manage and maintain optimal inventory levels for all fast-moving, slow-moving, and critical spare parts to minimize stock-outs and excess inventory.

Receiving & Issuance:

Oversee the physical receipt, inspection, and proper storage of incoming parts. Ensure accurate and timely issuance of parts to the service technicians (Job Card based) and counter customers (Retail Sales).

Stock Accuracy:

Conduct regular (daily/weekly) perpetual inventory checks and full physical stock verification to ensure alignment between physical stock and the system records.

Storage:

Maintain the spare parts storage area (Godown/Store) in a clean, organized, and properly labeled manner for quick retrieval.

Obsolete Parts:

Identify and report on slow-moving or obsolete parts, and assist the management in developing strategies for their liquidation or return.
2. Procurement and Vendor Management

Ordering:

Prepare and raise purchase orders for new stock based on defined reorder levels, service schedules, sales history, and forecasts.

Liaison:

Coordinate with the Original Equipment Manufacturer (OEM) or authorized distributors for timely procurement and delivery of parts.

Invoice Processing:

Verify parts invoices against purchase orders and received stock before handing them over to the accounts department for payment processing.
3. Sales and Service Support

Service Workshop:

Ensure all parts requested by the service technicians are dispensed accurately and promptly to maximize workshop efficiency and reduce vehicle downtime.

Counter Sales:

Manage direct retail sales of parts and accessories to walk-in customers, providing technical information and identifying the correct parts using the manufacturer's parts catalogue.

Warranty/Claims:

Process and manage all necessary documentation for parts covered under warranty claims, coordinating with the Service Manager and the manufacturer.

Customer Service:

Handle customer inquiries regarding part pricing, availability, and delivery schedules in a professional and courteous manner.
4. System and Reporting

Data Entry:

Accurately update all stock transactions (receipts, issues, sales, returns) in the Dealer Management System (DMS) or inventory software.

Reporting:

Generate periodic reports on inventory turnover ratio, stock valuation, consumption patterns, and stock variance for management review.

Catalogue Management:

Ensure the parts catalogue and pricing information is always up-to-date.

Required Skills & Qualifications



Education:

A Diploma or Bachelor's degree (preferably in Commerce, Automobile/Mechanical Engineering, or Supply Chain Management).

Experience:

Minimum 1-3 years of proven experience in parts inventory management, preferably within an automobile dealership (two-wheeler sector is a strong asset).

Technical Knowledge:

Ability to understand and identify two-wheeler spare parts using technical manuals/catalogues.

System Proficiency:

Must be proficient in using computerized inventory management systems (DMS) and MS Office (especially Excel).

Attributes:

Excellent attention to detail, strong organizational skills, numerical accuracy, and good communication ability.
Job Type: Full-time

Pay: ₹14,000.00 - ₹18,000.00 per month
