:

The Spare Parts Billing Executive is responsible for generating accurate parts invoices, maintaining billing records, coordinating with the parts and service teams, and ensuring smooth billing operations. The role requires attention to detail, system knowledge, and strong coordination skills.

Key Responsibilities

1. Billing & Invoicing

Prepare and generate invoices for spare parts sales, service jobs, and internal requisitions. Ensure accuracy in quantities, pricing, taxes, and discounts. Verify part numbers, job card details, and stock availability before billing.

2. Documentation & Record Management

Maintain organized records of invoices, purchase orders, and delivery notes. Keep track of warranty and non-warranty parts billing. Prepare daily, weekly, and monthly billing reports for management.

3. Coordination

Coordinate with the Spare Parts Manager and Service Advisors billing-related queries. Communicate with the accounts department regarding payments, credit notes, and outstanding bills. Support service team in preparing job card estimates and final bills.

4. Customer Interaction

Provide invoice explanations to customers when required. Address customer queries related to spare parts billing. Ensure timely and customer-friendly billing experience.

Skills & Qualifications

Education:

Diploma or Bachelor's degree preferred. Additional training in accounting/software is a plus.

Skills:

Strong knowledge of automobile spare parts. Proficiency in DMS/ERP software (e.g., Auto soft, Tally, etc.). Good understanding of GST and billing processes. Attention to detail and strong numerical ability. Good communication and coordination skills. Ability to work in a fast-paced workshop environment.

Experience

0-3 years experience in spare parts billing or similar role in the automobile industry preferred.
