The Spare Parts Billing Executive is responsible for preparing and managing accurate billing and invoicing for all spare parts transactions. This role ensures smooth coordination between the spare parts department, service advisors, and accounts team to maintain proper records and support efficient operations.
Key Responsibilities:
Prepare and generate invoices for spare parts sales .
Verify parts issue slips, job cards, and delivery notes before billing.
Ensure accurate entry of parts details, quantities, prices, and discounts into the billing system.
Maintain up-to-date records of all invoices and credit notes.
Coordinate with the parts warehouse team for stock updates and availability.
Ensure all billed parts are correctly accounted for in the inventory system.
Assist the accounts department with daily sales reports and reconciliation.
Handle customer queries related to billing and parts charges.
Support the parts manager in maintaining billing accuracy and timely processing.
Generate periodic reports on billed and unbilled parts for management review.
Ensure compliance with company policies, taxation norms (GST), and accounting standards.
Qualifications & Skills:
Bachelor's degree or diploma in Commerce / Business Administration / Automobile Engineering.
Good knowledge of spare parts nomenclature and pricing.
Strong attention to detail and numerical accuracy.
Good communication and coordination skills.
