Job Description

We are looking for a Service Owner - Email & Distribution Lists - to join the Office 365 team. You will collaborate closely with other M365 Service Owners, security and compliance teams, vendors, and senior management to ensure secure, compliant, and seamless communication services for Nokia's global workforce. Your scope will include core messaging platforms, hybrid configurations, distribution lists, shared mailboxes, Microsoft Booking, Room Mailboxes, ListServ, Mail Relays, and security components such as Defender for Office 365 and SPF/DKIM/DMARC. This is a highly visible, strategic role suited for someone who thrives in complex environments, drives proactive service improvement, and is passionate about operational excellence.



Own the end-to-end lifecycle, roadmap, and operational excellence of Email and Distribution List services across Exchange Online and On-premises environments. Maintain and update support models, SOPs, and governance documentation for all in-scope services. Ensure secure and reliable mail flow, including management of hybrid connectors, transport rules, routing, and on-premises SMTP relay services. Oversee Exchange On-premises version upgrades, patch cycles, configuration baselines, and continuous oversight of cumulative update and hotfix application workflows. Lead the lifecycle governance of ListServ services (cleanup, volume optimization, performance review), and oversee Distribution Lists, Shared Mailboxes, Room/Equipment Mailboxes, and Microsoft Bookings, ensuring proper lifecycle policies and standards. Lead major incident, problem, and event management for messaging services, ensuring timely resolution, effective triage, escalation, and clear communication with stakeholders and partner support teams. Act as the primary interface to security and compliance teams, ensuring robust security posture (Defender for Office 365, SPF/DKIM/DMARC), adherence to retention and regulatory requirements, and oversight of compliance and email security policies. Drive adoption, readiness, and communication for Microsoft roadmap changes impacting Exchange, distribution lists, mail security, and related workloads. Align operational policies, mailbox provisioning, and client compatibility with evolving requirements. Collaborate with peer M365 Service Owners, Identity and Networking teams, and vendor partners to deliver consistent, integrated service outcomes. Oversee operational access governance, including approval of admin privileges. Review, validate, and approve monthly Exchange and ListServ reporting. Own KPI/PI approval processes for messaging services, ensuring data quality, service insights, and alignment with organizational KPIs. Maintain the accuracy and consistency of user-facing documentation, runbooks, architecture references, and service pages related to Email, Exchange, and ListServ services across all knowledge bases.

Must-Have:



Bachelor's degree in computer science, information systems, or a related field with 12+ years of experience in enterprise IT service management Experience with Linux is valuable, especially for managing ListServ environments, troubleshooting mail relays, and supporting cross-platform integrations and with SMTP relay services, mail gateways, and application-based mail integrations. Deep hands-on expertise in Exchange Online and Exchange Server hybrid environments at enterprise scale. Strong understanding of mail flow, hybrid connectors, routing, Autodiscover, calendar interoperability, and transport rules. Practical experience with Defender for Office 365, anti-spam/anti-phish tuning, and email security operations. Proven knowledge of SPF, DKIM, and DMARC, including governance, tuning, and troubleshooting. Skilled in managing Distribution Lists, Shared Mailboxes, Room Mailboxes, Microsoft 365 Groups, and Microsoft Bookings. Familiarity with ListServ application from L-Soft or similar enterprise list-management platforms.

Strong scripting skills (PowerShell preferred) and a mindset for automation and repeatability.

Demonstrated ability to manage major incidents, root-cause analysis, and continuous improvement in complex environments. Excellent communication, stakeholder alignment, and vendor-management skills; experience working in global, matrixed organizations and Knowledge in Linux will be a plus.
