As we continue to grow, we are looking for a dedicated and organized Service Coordinator to join our team and ensure seamless service delivery to our valued customers.
Job Summary
The Service Coordinator will be the primary point of contact for our customers regarding service requests, maintenance, and technical support for our industrial weighing products. This role involves coordinating field service activities, scheduling technicians, managing service records, and ensuring timely and efficient resolution of customer issues. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a customer-centric approach.
Key Responsibilities
Customer Communication:
Serve as the first point of contact for incoming service requests via phone, email, or other channels. Provide clear and concise information to customers regarding service status, schedules, and resolutions.
Service Scheduling & Dispatch:
Efficiently schedule and dispatch field service technicians for installations, routine maintenance, emergency repairs, and calibration services. Optimize routes and schedules to maximize efficiency and minimize downtime.
Work Order Management:
Create, update, and close service work orders in the system. Ensure all relevant information, including customer details, service history, parts used, and technician notes, is accurately recorded.
Technician Support:
Provide administrative and logistical support to field service technicians, including preparing necessary documentation, coordinating parts delivery, and addressing any on-site challenges.
Record Keeping:
Maintain accurate and up-to-date service records, customer databases, and equipment histories. Generate reports on service performance, common issues, and customer feedback.
Parts Coordination:
Coordinate with the inventory and procurement teams to ensure the availability of necessary spare parts and tools for service jobs.
Issue Resolution:
Follow up on service requests to ensure customer satisfaction and that all issues have been resolved to the highest standards. Escalate complex technical issues to senior technicians or engineering as needed.
Quotation & Billing Support:
Assist in preparing service quotations and coordinating with the finance department for timely invoicing of service charges.
Process Improvement:
Identify opportunities to improve service delivery processes, enhance customer experience, and increase operational efficiency.
Qualifications
Experience:
Minimum of 2-4 years of experience in a service coordination, dispatch, or customer support role, preferably within a manufacturing, industrial equipment, or heavy machinery industry.
Experience with CRM software or service management systems is a plus.
Skills:
Excellent verbal and written communication skills in English and Tamil.
Strong organizational and time management abilities with attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to multitask, prioritize, and work effectively under pressure.
Problem-solving skills and a proactive approach to customer service.
Ability to work independently and as part of a team.
Basic technical understanding of industrial equipment is an advantage.
