As we scale our service capabilities, we're looking for a capable
Service Coordinator
who can go beyond the basics -- combining operational discipline with a cost-saving mindset and the agility to wear multiple hats across functions.
Role Overview
This is not a routine back-office role.
We're hiring a smart and dependable
Service Coordinator
who can manage field deployments, customer requests, service documentation, and internal coordination -- while actively contributing to
cost control, process improvement, and inter-departmental efficiency
. The ideal candidate brings maturity, strong ownership, and a sharp eye for operational logic.
Key Responsibilities
1. Field Service Operations
Plan, schedule, and track engineer visits for installation, AMC, and breakdowns
Pre-screen requests (photos/videos/call logs) to reduce unplanned revisits
Club service trips geographically to reduce fuel, time, and manpower costs
2. Customer & Engineer Communication
Act as a single-point contact for clients, updating them proactively and ensuring ticket closures
Coordinate with service engineers for pre-visit preparation and real-time support
Collect post-service feedback and track satisfaction trends
3. Cost Optimization & Planning
Track warranty/AMC scope to avoid unauthorized or redundant service
Identify cost leakages (duplicate visits, unnecessary dispatches, overstocked spares)
Maintain minimum stock levels and plan tool/spare movement to minimize courier/freight cost
Log and analyze service frequency by client to predict and control costs
4. Documentation & Compliance
Ensure all job sheets, checklists, AMC logs, and visit reports are updated accurately and on time
Prepare service MIS reports weekly/monthly (tickets handled, cost per visit, resolution time)
Maintain site readiness checklists and installation documentation for audit and billing
5. Field Expense Review & Reimbursement Vetting
Validate service engineer claims for travel, accommodation, meals, tools, and spares
Cross-check visits vs. kilometers, duplicate entries, tolls, and stay justifications
Coordinate with admin/accounts for approved reimbursements and maintain engineer-wise cost tracking
Act as the
first filter for cost compliance
without delaying team payouts
6. Cross-Functional Support
Support the sales team with technical site-readiness checks pre-dispatch
Help draft standard AMC or spare part quotations using existing data
Coordinate exhibition/demo logistics where service support is required
Liaise with admin/logistics for tool dispatch, retrieval, and delivery tracking
Candidate Profile
Qualifications
Diploma or B.E./B.Tech in Instrumentation / Mechanical / Electronics Engineering
2-5 years of relevant experience in service coordination, instrumentation support, or technical admin
Key Competencies
Strong verbal and written communication
Advanced planning and coordination skills
High attention to detail and process discipline
Proficiency in MS Excel, CRM (Zoho/Salesforce), ERP (SAP, Zoho Books, etc.)
Logical, cost-conscious, and solution-oriented mindset
Bonus Traits (Preferred but Not Mandatory)
Familiarity with instrumentation, valves, fittings, or high-purity systems
Experience reviewing field engineer expense reports and tracking cost per visit
Exposure to ISO/quality audits or AMC/warranty processes
Flexibility to support across admin, sales coordination, and logistics when required
