The Service Coordinator acts as the link between customers, service engineers, and internal departments to ensure smooth execution of installation, commissioning, maintenance, and troubleshooting activities for analytical instruments. This role involves scheduling, documentation, customer communication, and support for the service team.
Key Responsibilities
1. Customer & Service Coordination
Receive and log service requests from customers (installation, commissioning, breakdown, preventive maintenance).
Schedule and coordinate field visits of service engineers based on priority and location.
Ensure timely communication of service schedules and updates to customers.
Track and close service calls within agreed turnaround times.
2. Documentation & Reporting
Maintain records of service calls, job sheets, spare parts used, and preventive maintenance schedules.
Prepare daily/weekly/monthly service reports and dashboards for management.
Manage warranty & AMC (Annual Maintenance Contract) documentation and renewals.
3. Spares & Inventory Management
Coordinate with stores/procurement for timely availability and dispatch of spares, consumables, and accessories.
Track inventory levels of critical spares for analytical instruments.
4. Technical & Administrative Support
Support service engineers with manuals, calibration certificates, and technical literature.
Assist in generating service quotations, AMC proposals, and follow-ups for approvals/payments.
Ensure compliance with ISO or internal quality standards for service activities.
5. Customer Relationship & Feedback
Collect customer feedback post-service and escalate issues where necessary.
Maintain high customer satisfaction by prompt and professional responses.
6. Training & Compliance
Arrange internal training sessions for service engineers on new instruments or technologies.
Ensure adherence to safety protocols, site requirements, and regulatory standards at customer locations.
