Designation: Senior Tender Executive / Assistant Manager / Manager



Department: Sales / Business Development / Contracts



Location: Chennai



Reporting To: Head - Sales / Commercial / Director



Role Objective



To identify, evaluate, and participate in

Government & PSU tenders

through the

GeM portal

and other e-procurement platforms for

international freight forwarding and logistics services

, ensuring compliance, competitiveness, and profitability.

Key Responsibilities



1. GeM Portal Management



Register, maintain, and update company profile on

GeM

List logistics / freight forwarding services as per GeM norms Monitor live, upcoming, and closed bids daily Participate in: Bids (BOQ, L1) Reverse auctions Bid modifications & withdrawals

2. Tender Evaluation & Bid Management



Identify relevant

government / PSU / autonomous body tenders

Read, analyze, and interpret: NIT / RFP / Tender documents Eligibility & technical criteria Prepare

bid/no-bid analysis

with risk assessment Track corrigendums, amendments, and clarifications

3. Pricing & Commercials



Prepare

costing and pricing

for logistics services: Air & sea freight Customs clearance Inland transportation Handling & allied charges Coordinate with operations and finance for: Cost inputs Margin approvals Ensure competitive yet profitable pricing

4. Documentation & Compliance



Prepare and upload all tender documents: Company registration documents Financial statements Experience / work completion certificates Ensure compliance with: EMD / PBG / Security deposit requirements Turnover & experience criteria MSME / startup exemptions (if applicable)

5. Pre-Bid & Post-Bid Activities



Draft and submit

pre-bid queries

Attend pre-bid meetings (online/offline) Respond to buyer clarifications on GeM Track tender results, LOA, and contract awards Support contract finalization and handover to operations

6. Coordination & Reporting



Coordinate with: Sales Operations Finance Banks (BGs, EMDs) Maintain tender tracker & MIS reports Report win/loss analysis to management

Required Knowledge & Skills



Technical / Functional Skills



Strong working knowledge of

GeM portal

Understanding of

government tendering process

Good knowledge of: International freight forwarding Incoterms Basic customs & logistics operations Experience with

EMD, PBG, LD clauses, GCC/SCC


Tools



Advanced

MS Excel

(costing, comparison) PDF tools Digital Signature (DSC) Basic ERP / CRM knowledge preferred

Soft Skills



Strong analytical & decision-making skills Attention to detail (zero-error documentation) Good written & verbal communication Ability to work under strict deadlines Stakeholder coordination skills

Experience & Qualification



Experience:

3-7 years in

Government / PSU tendering

Preferably in

logistics / freight forwarding / transportation

Education:

Graduate (Commerce / Management / Logistics preferred) MBA or logistics certification is an added advantage

Key Performance Indicators (KPIs)



Number of qualified bids submitted Tender success / win ratio Revenue generated from government contracts Compliance & rejection rate (should be minimal) Timely submission & documentation accuracy
