The Senior Sales Coordinator is responsible for end-to-end coordination of sales operations in the food industry, including order processing, customer and distributor coordination, sales reporting, attendance management of the sales team, and administration of sales-related expenses. The role ensures operational efficiency, statutory and policy compliance, and seamless coordination between sales, finance, logistics, and HR functions.
Key Responsibilities
- Sales Coordination & Operations
Act as a central coordination point between the sales team, customers, distributors, production, logistics, and finance departments.
Prepare and circulate approved price lists, quotations, trade schemes, and promotional communication.
Track sales targets, achievements, and market performance, and share periodic MIS reports with management.
- Order Management & Execution
Receive, verify, and process sales orders in accordance with approved pricing, credit limits, and company policies.
Coordinate with production, planning, and warehouse teams to ensure product availability and timely dispatch.
Monitor order fulfillment, delivery schedules, and invoicing, resolving discrepancies proactively.
- Customer & Distributor Coordination
Handle customer and distributor queries related to orders, pricing, dispatches, and documentation.
Maintain strong relationships with channel partners to ensure smooth business operations.
Coordinate resolution of customer complaints related to shortages, damages, quality issues, or delays.
- Attendance Management for Sales Team
Maintain and monitor daily attendance, weekly-offs, leaves, and tour plans of the field sales team.
Track attendance through approved attendance systems, trackers, or tour programs.
Validate attendance records, leave data, and tour plans for payroll processing and management review.
Coordinate with HR for attendance corrections, leave adjustments, and monthly payroll inputs.
- Sales Expense Coordination
Collect, review, and verify sales team expense claims (travel, lodging, food, mobile, and other approved expenses) as per company policy.
Ensure completeness and accuracy of supporting documents such as bills, vouchers, and tour approvals.
Coordinate with the finance team for timely processing, reimbursement, and reconciliation of sales expenses.
Maintain detailed records of expense claims, approvals, and payments for audit and control purposes.
- Documentation & Compliance
Ensure accurate maintenance of sales documents including invoices, delivery challans, credit notes, and customer agreements.
Support internal audits by providing sales, attendance, and expense-related records as required.
Ensure adherence to company policies, SOPs, and applicable statutory guidelines.
- Reporting & MIS
Prepare and circulate daily, weekly, and monthly sales MIS, attendance summaries, and expense reports.
Maintain up-to-date master data for customers, distributors, pricing, attendance, and expense trackers.
Provide analytical inputs on sales performance, manpower utilization, and expense trends to management.
- Cross-Functional & Team Support
Coordinate closely with finance for invoicing, collections, credit control, and expense reimbursements.
Liaise with HR for attendance, leave records, and sales team manpower reporting.
Guide and support junior sales coordinators or executives in operational processes.
Key Skills & Competencies
Strong exposure to sales operations in the food or FMCG industry
Sound understanding of attendance tracking, tour programs, and expense management
Proficiency in MS Excel, ERP/CRM systems, and MIS reporting
High attention to detail and strong coordination and follow-up skills
Ability to manage multiple stakeholders and work under tight deadlines
Educational Qualification
Bachelor's degree in commerce, Business Administration, or a related field
MBA (Sales / Operations) preferred
Experience
Min. 5 years of experience in sales coordination or sales operations, preferably in the food or FMCG industry
Prior experience handling sales team attendance and expense coordination is mandatory
