We are seeking a highly proactive, detail-oriented, and organized
Senior Sales Coordinator
to support and enhance the performance of our sales team. This role involves managing end-to-end sales coordination activities, maintaining accurate sales data, ensuring seamless communication between clients and internal departments, and overseeing the entire order-to-dispatch process. The ideal candidate should have strong analytical skills, excellent communication abilities, and the capability to handle multiple client requirements with efficiency and professionalism.
Key Responsibilities1. Sales Support & Coordination
Act as the central point of contact between clients, internal teams, and the sales department.
Coordinate day-to-day activities related to sales inquiries, quotations, and follow-ups.
Assist the sales team in achieving monthly and yearly targets through timely support and accurate information.
2. Data Management & Reporting
Maintain updated sales databases, customer records, and order status reports.
Prepare daily/weekly/monthly sales performance reports for management review.
Analyze sales trends, customer requirements, and order patterns to support strategic decision-making.
Ensure all sales documentation, agreements, and approvals are accurately filed and maintained.
3. Client Communication & Relationship Handling
Communicate with clients for order confirmations, approvals, timelines, and queries.
Provide timely updates on order status, delays, or changes, ensuring high customer satisfaction.
Build strong relationships with key clients by understanding their requirements and providing consistent support.
4. Order Processing & Coordination
Manage end-to-end order processing--from enquiry, quotation, sampling, production approval, to final dispatch.
Coordinate with production, procurement, design, logistics, and finance teams to ensure smooth workflow.
Monitor stock availability and material requirements for timely order execution.
Oversee dispatch schedules and ensure timely delivery as committed.
5. Internal Coordination
Collaborate with cross-functional teams to avoid errors, ensure accuracy, and resolve any order-related issues.
Follow up with internal teams on pending tasks, approvals, production timelines, and dispatch plans.
Support senior management with ad-hoc tasks, research, and presentations when required.
6. Process Improvement & Leadership
Identify gaps in the sales coordination process and suggest improvements.
Implement best practices for documentation, reporting, and communication.
Mentor and guide junior sales coordinators, ensuring smooth workflow and team efficiency.
Required Skills & Qualifications
Bachelor's degree in Business Administration, Marketing, or related field.
3-6 years of experience in sales coordination, client servicing, or a similar role.
Strong communication skills (written and verbal).
Advanced knowledge of MS Excel, CRM tools, and sales reporting.
Excellent organizational and multitasking abilities.
Problem-solving mindset with attention to detail.
Ability to work collaboratively in a fast-paced environment.
