Roles & Responsibilities of Assistant to Managing Director (Civil Projects)1. Executive & Administrative Support
Manage the MD's daily schedule, site visit plans, project review meetings, and travel arrangements.
Ensure the MD is fully prepared with drawings, reports, DPRs, tender documents, BOQs, and project updates.
Maintain absolute confidentiality regarding strategic, financial, and operational matters.
2. Project Coordination & Monitoring
Coordinate with Project Managers, Site Engineers, QA/QC, Planning, Billing, Purchase, and Accounts teams.
Track project progress, deadlines, site issues, delays, and report them to the MD.
Follow up on critical project milestones such as pouring schedules, steel fabrication updates, foundation work, commissioning, etc.
Maintain and update weekly & monthly project progress reports.
3. Documentation & Reporting
Prepare and review MOMs (Minutes of Meeting), project review reports, DPR summaries, MIS dashboards, and action trackers.
Assist the MD in preparing presentations for clients, tenders, consultants, and board meetings.
Maintain documentation related to contracts, work orders, RA bills, change orders, claims, and approvals.
4. Technical Assistance (Civil Project Focus)
Compile technical data like BOQs, drawing revisions, material consumption reports, and quality checklists.
Support the MD in tender comparison, cost analysis, and vendor evaluation.
Coordinate with design, structural, and planning teams to ensure timely submission of drawings and approvals.
5. Communication & Stakeholder Management
Act as a bridge between MD and:
Clients
Consultants
Contractors
Vendors
Project teams
Government authorities
Draft letters, emails, project correspondence, and official communications on behalf of the MD.
Coordinate client meetings, site visits, and follow up on pending approvals.
6. Task & Follow-Up Management
Track all action items assigned by the MD to various teams.
Manage timelines for key activities like procurement, billing, approvals, and mobilization.
Identify delays and escalate issues to the MD with possible solutions.
7. Procurement & Vendor Support
Assist the MD in vendor selection, negotiation inputs, and procurement planning.
Track material delivery schedules, supplier performance, and pending purchase orders.
Ensure quality documentation such as test certificates, quality reports, and compliance documents are collected.
8. Site & Safety Coordination
Monitor safety compliance reports (PPE compliance, accidents, safety audits).
Collect key site information including manpower, machinery deployment, and productivity data.
Support MD in resolving site bottlenecks by coordinating with relevant departments.
9. Financial & Billing Support
Collect RA billing status, cash flow needs, cost-to-complete summaries, and vendor billing updates.
Follow up with accounts on payments, advances, and financial commitments of projects.
Track project budgets, variances, and cost escalation issues.
