Experience & Skills Role : IT Project Manager Project Management and Delivery Create positive environment at initial stage and maintain the same across all stages for successful execution of project. Initiate discussions and follow ups with stake holders to drive them towards decision on starting or delaying a project scheduled in project calendar/any other source. Set the platform for project kickoff by building consensus with stake holders on project objectives/outcomes, sponsorship, team structure, roles & responsibilities, high level risks and dependencies, process to follow etc. Conduct formal project kickoff meet with all key stake holders Build and maintain project plan through close communication with key stake holders. Develop and maintain all necessary documentation for projects such as WBS, Schedule, RACI matrix, Risk register, Scope document, requirements, traceability matrix, test cases etc. Educate/on board the stake holders/ project team members on overall project; its objectives, processes etc. to keep every on same page. Self-learn/gain required business/process/ technical knowledge for effectively managing project discussions, sessions, workshops etc. Develop more and more clarity by deep-diving into all project deliverables to drive project team in right direction. Monitor project activities on daily basis, take immediate actions where ever required to ensure planned activities are completed on-time o Schedule, time and budget variance Signed off project objectives/outcomes List of documents to maintain for project/up to date documents. Prediction of project status ahead in time (2-4 weeks). Project communication(Righ t time, Right message, Right recipients, Right channel) o Education: Graduate in IT/ Computer Science, PMP Certification desirable Experience: 7-8 years' experience in IT/ITES with atleast 5-6 years of project management experience Skills and Competencies: o Agile & Waterfall methodology understanding o MS Project and Project management skills o Vendor management o Result orientation o Responding & adapting to change o Detail orientation Designation, Band & Level : Senior Manager, J6 Function: HR, Administration & IT Department: IT Sub-Department: IT Solutions 2. Role Purpose Manage end-to-end execution of assigned projects by managing all stake holders to ensure delivery within agreed schedule, budget and quality guidelines 3. Organization Structure 8. Key Interactions o All functions: Requirement gathering, project related updates o TKM: Partnering and development of new applications and solutions o Vendors: Onboarding, Project management Identify/detect risks and counter measures by paying attention to detail and plan mitigation at early stage; closely monitor risks and take actions/implement counter measures from time-to-time. Assess the current situation and predict project status 2-4 weeks ahead; update all relevant stake holders; Identify triggers and raise alert/escalate if required to increase focus and take corrective actions to avoid project slippage. Maintain quality communication with stakeholders to ensure all are on same page regarding project status; pay attention to detail to avoid communication gaps. Provide strong support to project team for completion of project activities. Maintain strong relation all key stake holders for smooth running of projects Document and share knowledge/ learnings with other project team members/peers etc. Vendor Management o Perform preliminary evaluation and assessment of vendors to recommend vendor partners for new project o Conduct strong negotiations with vendors on quality, resources, cost etc. o Liaise with vendors, understand dependencies & manage overall plan based on individual vendor timelines to ensure timely delivery o Drive project deliverable quality by conducting periodic audits and checks on vendor outputs and processes o Facilitate the timely payment of all project related invoices and escalate where necessary Reporting and Governance o Develop own project related MIS including progress, KPIs , variances, key issues and risks for presenting to project governance committee on a periodic basis to enable prioritization at organization level o Develop weekly management update / steering committee reports for key stakeholders using the protocols and guidelines defined to ensure timely updates and risk management Planning and Improvement o Provide inputs for annual plan creation based on analysis of current and future projects to enable business growth through IT solutions o Regularly reconcile total actual project expenditure (resource and materials) against approved budget to minimize variances o Suggest process modifications to increase vendor delivery modelefficiency 10.
