About the Role
We are seeking a highly organised and detail-oriented
Senior Project Coordinator
to support the planning and delivery of our international B2B conference portfolio. This is a
mid-level, office-based role
focused on
project planning, preparation, coordination, documentation, and delivery support
, rather than onsite event execution.
You will work closely with the Project Manager to ensure all event workstreams are planned, prepared, tracked, and kept up to date. This role is ideal for someone with strong coordination experience who enjoys managing timelines, maintaining trackers, and ensuring projects are delivered smoothly behind the scenes.
Key Responsibilities
Support the
planning and delivery
of multiple B2B conferences running in parallel
Create, maintain, and update
project plans, timelines, trackers, and checklists
Ensure all project files, documents, and folders are
accurate, organised, and up to date
Track deadlines and dependencies, proactively flagging risks or delays to the Project Manager
Coordinate closely with the Project Manager on daily priorities and delivery status
Planning & Preparation
Maintain master trackers for speakers, sponsors, agendas, and deliverables
Support preparation of internal planning documents, briefs, and run-of-show drafts
Assist with agenda updates, speaker documentation, and internal handovers
Internal Coordination
Liaise with internal teams (marketing, partnerships, design, operations) to ensure timelines and requirements are clearly communicated
Follow up on action items and ensure tasks are completed on time
Support smooth coordination across teams throughout the event lifecycle
Reporting & Updates
Provide regular project status updates, highlighting progress, risks, and next steps
Keep internal systems and tools updated with the latest information
Support post-event documentation, reporting, and process improvements
Required Experience & Skills
3-5 years' experience
in project coordination, events, conferences, or operations
Strong planning, organisational, and time-management skills
High attention to detail and comfort working with multiple trackers and documents
Clear, professional written and verbal communication skills
Ability to work independently while closely supporting a Project Manager
Structured, calm approach to managing multiple deadlines
Nice to Have
Experience using project management tools (Asana, Monday.com, ClickUp, Trello, etc.)
Strong Excel / Google Sheets and document management skills
Experience working in B2B conferences, events, or agency environments
