Job Summary
The Executive Assistant will play a key role in supporting senior leadership through high-quality administrative, analytical, and operational coordination. The position requires strong capabilities in data handling, reporting, tracking program performance, and internal process compliance. The role also involves travel to various field locations as needed to support audits, program reviews, or capacity-building efforts.
Key Responsibilities
1. Executive & Administrative Support
aPrepare agendas, record meeting minutes, and follow up on action items.
Coordinate communication and documentation with internal and external stakeholders.
2. Reporting & Data Analysis
Compile, validate, and analyze reports from field teams and program units.
Use tools like Excel, Google Sheets, Power BI, or other MIS tools to generate insights.
Create dashboards and summaries for senior leadership and donor reporting.
3. Follow-Up & Coordination
Maintain action trackers and program delivery calendars.
Ensure timely submission of reports and deliverables by following up with responsible teams.
Coordinate with departments (Finance, HR, Program, Development Office) for seamless workflow.
4. Internal Audit & Documentation Support
Assist in internal audits, documentation reviews, and compliance checks.
Track adherence to SOPs, donor guidelines, and internal controls.
Prepare and organize documentation for audits and donor visits.
5. Communication & Operational Liaison
Draft reports, emails, presentations, and briefs on behalf of senior leadership.
Act as a liaison with program teams and partner organizations.
Ensure effective internal communication across departments.
6. Field Travel & On-Ground Support
Travel to program sites or regional offices as required for audits, reviews, or leadership visits.
Support on-ground data collection, validation, and reporting activities during such visits.
Qualifications & Skills
Education
Bachelor's degree in Business Administration, Social Work, Development Studies, or a related field.
Postgraduate degree or diploma in a relevant discipline is a plus.
Experience
Minimum 5 years in executive support, program coordination, or reporting roles.
Prior experience in NGOs, youth skilling, education, or donor-funded projects is preferred.
Technical Skills
Excellent knowledge of Excel, Google Workspace, and reporting/analytics tools (Power BI, Tableau, or similar).
Strong understanding of data cleaning, visualization, and trend analysis.
Familiarity with internal audit principles and compliance frameworks.
