This is a
mid-level, office-based role
focused on
hands-on execution
, ensuring venues, suppliers, and operational requirements are confirmed, documented, and delivered accurately. You will work closely with Project Managers to translate event plans into operational reality.
This role is ideal for someone with strong event operations experience who enjoys owning logistics, working with venues, and ensuring everything is locked in well ahead of delivery.
Key Responsibilities
Own the
operational execution
of B2B conferences across multiple geographies
Manage
venue coordination
including proposals, contracts, layouts, AV, catering, and timelines
Liaise with external suppliers (AV, production, signage, registration, etc.) to confirm requirements and deliverables
Ensure all operational elements are planned, documented, and executed accurately
Venue & Supplier Management
Act as the primary point of contact for venues once confirmed
Coordinate room sets, floorplans, catering, AV requirements, and signage
Track venue deliverables, deadlines, and dependencies
Review contracts and ensure operational terms are clearly understood
Event Logistics & Delivery
Maintain detailed operations trackers covering venues, suppliers, equipment, and timelines
Prepare and update operational briefs, checklists, and run-of-show documents
Support pre-event rehearsals, technical checks, and final confirmations
Work closely with Project Managers to align logistics with agendas and sponsor requirements
Internal Coordination
Liaise with internal teams (project, marketing, design, partnerships) to gather and communicate operational requirements
Ensure all teams are aligned on logistics, timelines, and responsibilities
Flag risks, gaps, or changes early and propose solutions
Reporting & Documentation
Provide regular delivery and operations updates to the Project Manager
Ensure all operational documentation and files are complete and up to date
Support post-event wrap-up, supplier feedback, and operational learnings
Required Experience & Skills
3-5 years' experience
in event operations, conference delivery, or venue management
Strong experience working with
venues, suppliers, and production partners
Excellent organisational skills and attention to detail
Confident managing multiple events and deadlines simultaneously
Clear, professional written and verbal communication
Proactive, solution-oriented approach to execution
Nice to Have
Experience with international conferences or multi-city events
Familiarity with project/operations tools (Asana, Monday.com, ClickUp, etc.)
Strong Excel / Google Sheets skills
