The ideal candidate will play a key role in managing the complete order lifecycle - from sample development to production, documentation, and final dispatch - while ensuring that international buyers receive high-quality products on time. The candidate will work closely with the production and sample teams and report to the Deputy Merchandising Manager (DMM), helping the company maintain and strengthen its reputation in the global market.
Key Responsibilities
:
Manage the entire process of
sample development
, production, and dispatch of glassware products based on buyer requirements.
Coordinate closely with the
Sample Development Team and Production Team
to ensure timely preparation of product samples as per buyer specifications.
Ensure samples are prepared accurately with correct product specifications, including size, design, color, material, packaging, and other fine details requested by the buyers.
Prepare and maintain detailed
product sheets, order tracking sheets, and purchase order documentation
, ensuring all information is accurate and updated in a timely manner.
Track the status of all ongoing orders, from confirmation to dispatch, ensuring timely delivery in coordination with production and logistics teams.
Prepare
shipment documentation
, including packing lists, commercial invoices, and other necessary export-related documents.
Collaborate with logistics partners to ensure smooth and timely dispatch of goods to international buyers.
Prepare high-quality
presentations
and product catalogs with accurate specifications, high-resolution images, and detailed descriptions to represent the product effectively to buyers and during business meetings.
Communicate directly with international buyers regarding sample approvals, order confirmations, changes in specifications, and shipment updates.
Ensure the
accuracy of size, design details, and technical specifications
in all communications and documentation to avoid discrepancies and maintain product quality.
Assist in resolving any order-related issues or discrepancies, maintaining a high level of professionalism and efficiency.
Maintain accurate records of samples, orders, dispatches, and communications for future reference and audits.
Work closely with the DMM to report the status of orders, production challenges, delays, and any other important insights.
Support the organization in maintaining and enhancing its global reputation by ensuring timely deliveries, excellent product quality, and strong buyer relationships.
Key Skills & Qualifications
:
Bachelor's degree in any field.
5-8 years of experience in
merchandising
, preferably in a manufacturing/export environment (Glassware industry is a strong advantage).
Strong understanding of
export processes, sample development, production coordination, and shipment documentation
.
Proficient in MS Excel and relevant merchandising software (Tally, SAP, Zoho, etc.).
Excellent organizational skills, with strong attention to detail.
Good understanding of product specifications, technical sheets, and buyer-specific requirements.
Strong communication skills, both written and verbal, especially in coordinating with international buyers.
Ability to work in a fast-paced, deadline-driven environment with multiple stakeholders.
Strong problem-solving abilities and a solution-oriented mindset.
Prior experience preparing presentations and product catalogs for global buyers is a plus.
