Job Purpose:
The Merchandising team plays a critical role in ensuring complete customer satisfaction by coordinating with various internal teams. This ensures that client requirements are met, and that quality is maintained in both the finished product and the service provided.
Role Overview:
The Senior Merchandiser is responsible for ensuring customer satisfaction by efficiently managing the execution of all orders (including samples) placed by clients.
Responsibilities and Accountability:
Pre-Order Stage: Develop samples and presentations for clients to ensure the initial phase is smooth.
Provide valuable inputs to clients to encourage larger and repeated orders.
Manage and prepare costings for various purposes including Buyer's meetings, Proto, SMS, and production.
Keep the buyer informed about the status of their samples and orders regularly, taking the necessary actions and approvals.
Update and maintain the order file for each style, including location, quantity, delivery, costing, and planner sheet entries.
Maintain export order entries in VG, including all yarn, fabric, accessories, and packing material details.
Maintain job worker files, ensuring records for inward and outward movement of pieces between factory and job workers, and also the buyer.
Regular coordination with the factory regarding current orders and sample requirements, ensuring that all accessories and yarn (including 5% excess) are available.
Ensure all samples (Proto/Fit/PP/Size Set/Testing/Shipment) are received within the specified timeline from the factory and job workers.
Monitor and ensure that shipments leave on time by consistently following up with the manufacturing team.
Maintain accuracy in supplier costing records during the sampling phase to ensure correct final costing.
Plan, source, and order yarn and accessories for production orders.
Regularly share order details with the factory to ensure smooth execution.
Coordinate despatches for the buyer, including samples, lab dips, swatches, accessories, and fabrics, working with the logistics team.
Compare POs with Pre-Quantities to ensure that the order quantities align with the required specifications.
Prepare the PO Excel sheet with all necessary order details, and place the final order with suppliers to ensure timely execution.
Create work orders for the factory with detailed instructions for each style after receiving PP approval from the buyer.
Monitor and validate invoices and bills raised by suppliers to ensure accurate invoicing.
Update and check the knitting and finishing plan file/TNA (on a daily basis), as well as the production sampling file (on a weekly basis).
Plan and schedule inspections with the QC team to maintain quality standards.
Ensure the factory adheres to quality standards by thoroughly reviewing test reports and inspection findings.
Verify the packing list to ensure that the produced order matches the buyer's PO and cross-check the final invoice.
Manage and oversee the work done by junior merchandisers in both sampling and production stages.
Job Qualifications:
Graduation in any stream.
Strong communication skills (both written and spoken).
Excellent relationship management skills.
Detail-oriented with a focus on precision and accuracy.
Relevant experience in the garment industry.
Knowledge of ERP software.
Advanced knowledge of Excel and proficiency in creating presentations.
