: HR Manager - Service Industry

Position: HR Manager

Location: Pune

Reporting To: General Manager / Managing Director

Industry: Transport / Housekeeping / Security etc.

Job Summary

The Senior HR Manager will oversee the complete HR operations including management of employee's end

to end life cycle, and HR policy implementation.

This role ensures smooth workforce management across multiple sites, including drivers, ground staff,

administrative employees. The candidate must have strong experience in HR operations within

transport/housekeeping/security services companies and excellent knowledge of labour laws applicable.

Key Responsibilities

1. Recruitment & Manpower Planning

? Lead recruitment for drivers, technicians, operations staff, and office employees.

? Coordinate with department heads to forecast manpower needs.

? Ensure proper background verification, documentation, and joining formalities.

2. Attendance, Payroll & Compliance

? Oversee attendance systems, biometric records, and shift-based attendance (drivers, operators).

? Coordinate with payroll team for monthly salary processing, incentives, overtime, and allowances.

? Ensure statutory compliance:

o Motor Transport Workers Act

o The Maharashtra Recognition of Trade Unions and Prevention of Unfair Labour Practices

Act.

o Shops & Establishment Act

o PF, ESIC, PT, LWF

o Contract Labour Management

? Handle audits and inspections by labour authorities.

3. Employee Relations & Grievance Handling

? Resolve employee concerns at branches, depots, and transport sites.

? Maintain healthy relations with drivers and support staff.

? Manage disciplinary actions, warning letters, suspension, or termination as per policy.

4. HR Policies & Process Implementation

? Draft, implement, and update HR policies for transport operations.

? Drive HR initiatives:

o Code of Conduct

o Leave & Attendance

o Safety & compliance guidelines

o Driver behaviour and discipline rules

5. Training & Development

? Identify training needs for drivers, supervisors, and staff.

? Conduct on boarding sessions, safety briefings, and compliance training.

? Monitor effectiveness of skill development initiatives.

6. Performance Management

? Drive appraisal process for office staff and field teams.

? Create KPIs for operations, maintenance and administrative positions.

? Recommend promotions, transfers, and manpower restructuring.

7. HR Operations & Documentation

? Maintain accurate employee records, service books, and personal files.

? Oversee contract workforce management and vendor compliance.

? Ensure timely renewal of licenses, permits, and statutory documents.

8. Strategic HR Support

? Support management in planning HR budgets, cost optimization, and organizational development.

? Provide MIS reports: attrition, attendance, headcount, overtime, site wise manpower budget

finalization and manpower deployment.

? Support new business expansions, site setups, and HR system implementation.

Key Skills & Competencies

? Strong knowledge of HR operations in service sector

? Deep understanding of labour laws & compliance

? Excellent communication & people management

? Hands-on experience with attendance, payroll, and HRMS software

? Ability to handle multi-location workforce

? Problem-solving and conflict-resolution skills

? Leadership & decision-making ability

Qualifications & Experience

? MBA / PGDM in Human Resources

? 7 - 10 years of experience in HR, with at least 3-5 years in service sector having manpower more

than 500+.

? Experience in handling driver workforce, contract manpower, and shift operations
