Senior HR & Admin Manager The Senior HR Executive will manage day-to-day HR operations, recruitment, and compliance activities, and support implementation of HR policies and processes using HRMS tools like
GreytHR
in an IT environment
Key responsibilities
HR operations & HRMS (GreytHR)
Maintain and update employee master data, attendance, leave, and basic payroll inputs in GreytHR
Generate standard HR reports (attendance, leave, headcount) and share periodic MIS with the Senior HR Manager.
Support implementation of HR workflows, document management, and employee self-service features in GreytHR.
Payroll Calculation & Management
Conduct salary reconciliation and accuracy verification
Analyze salary structure and provide compensation insights
Calculate bonuses, incentives, and performance-based pay
Review salary revisions for promotions and increments
Prepare payroll reports and analytics for cost trends
Coordinate with finance for reimbursements and advances
Manage employee payroll queries
General Administration & Facility Management
Manage office budget allocation and track expenditures
Evaluate and negotiate vendor contracts for cost-effectiveness
Conduct periodic vendor performance reviews
Oversee office space utilization and optimization
Maintain office safety and compliance standards
Manage office communications (phones, email, reception)
Prepare maintenance checklists for common areas
Coordinate office relocations or expansions
Manage office inventory and supplies
Process vendor invoices and billing
Recruitment & onboarding
Coordinate end-to-end recruitment: sourcing, screening, scheduling interviews, feedback follow-up, and offer coordination for IT and support roles.
Prepare and issue offer letters, appointment letters, and onboarding documents; ensure smooth joining and induction.
Maintain candidate database and track recruitment status through HRMS/ATS or GreytHR Recruit where applicable
Employee lifecycle & engagement
Handle documentation for confirmations, transfers, increments, and separations, including exit formalities and F&F coordination.
Assist in planning and executing employee engagement activities, celebrations, and communication initiatives
Support resolution of basic employee queries related to HR policies, attendance, and payroll.
Compliance & documentation (India specific)
Assist in statutory compliance activities such as PF, ESIC, PT, Shops & Establishment, and maintenance of related registers and documents
Maintain accurate records of employee files, contracts, and policy acknowledgements for audit readiness
Stay updated with basic changes in labour laws and escalate complex issues to Senior HR Manager or consultants
Performance & training support
Coordinate performance appraisal cycles: data collation, reminders, and documentation of ratings and letters
Assist in arranging internal and external trainings, maintain training attendance and feedback record
Required qualifications
Graduate or Postgraduate in HR / Management or related field.
Around 5+ years of experience in HR operations/executive role, preferably in IT/technology companies
Working knowledge of GreytHR or similar HRMS (attendance, leaves, payroll inputs, documents)
Understanding of basic Indian labor laws and statutory compliance requirements (PF, ESIC, PT, etc.)
Skills and competencies
Strong attention to detail and documentation discipline
Good communication skills (email drafting, employee interaction, coordination with management).
Proficiency in MS Excel, Word, and HRMS tools for reports and data management
Ability to handle confidential information with integrity and maintain a professional, employee-friendly approach
