The Candidate - Operations (MICE & Business Travel) is responsible for overseeing and managing the end-to-end execution of both corporate travel services and MICE (Meetings, Incentives, Conferences, and Exhibitions) events. This dual-role includes travel planning, client servicing, vendor management, and operational delivery for business travel as well as conferences, incentive tours, and corporate events. The role requires strong attention to detail, leadership skills, and in-depth knowledge of global travel logistics and event management.
Key Responsibilities:
MICE Operations
Plan and manage all aspects of MICE projects from proposal to execution.
Coordinate with clients to understand event objectives and travel expectations.
Design itineraries, event schedules, and activity plans tailored to client requirements.
Conduct site inspections, manage event logistics, team-building activities, and themed evenings.
Liaise with hotels, DMCs, activity vendors, and other stakeholders to ensure flawless execution.
Manage on-ground staff during events and ensure client satisfaction during the program.
Business Travel Operations
Oversee day-to-day business travel bookings (hotel & transport) for corporate clients.
Ensure travel is planned in compliance with company travel policies and budget.
Track travel itineraries, and travel documentation.
Manage urgent travel requests, last-minute changes, and crisis handling during travel disruptions.
Client & Account Management
Build strong relationships with key corporate clients and ensure high service standards.
Serve as a single point of contact for Hotels and other services .
Conduct regular review meetings and gather feedback for service improvement.
Present event and travel solutions to clients, including cost estimates and value-added options.
Budgeting & Cost Control
Prepare detailed event budgets and travel cost summaries.
Monitor costs, vendor payouts, and ensure profitability of both travel and MICE segments.
Negotiate competitive rates with hotels, and third-party vendors.
Team Management
Lead and mentor a team of MICE coordinators and travel executives.
Assign roles, review daily operations, and provide hands-on support during high-volume periods.
Train new team members on SOPs, client handling, and system use.
Requirements:
Bachelor's degree in Travel & Tourism, Event Management, or Hospitality.
5-8 years of relevant experience in MICE and Corporate Travel operations.
Sound knowledge of global destinations, hotel brands, and visa requirements.
Strong interpersonal, negotiation, and organizational skills.
Ability to multitask, work under pressure, and meet deadlines.
Willingness to travel for event/site inspections or client meetings.
Preferred Skills:
Knowledge of incentive travel trends, corporate travel policy structures, and risk management.
Familiarity with CRM tools, and expense reporting systems.
Creative thinking for event themes, entertainment concepts, and team engagement ideas
