Job Description


Prepare/issue invoices hire statements with all the essential components as per charter parties. Perform laytime calculations and undertake laytime counters with counter parties. Ensure accurate and timely receipts/payments of hire / freight / demurrage / despatch , in tandem with charter parties. Close monitoring/follow-up of outstanding balance owing to the company. Check prepare Letter of Indemnity (LOI) in accordance to Owners format, i.e. LOI for discharge without OBL, LOI for loading/discharging in rain, LOI for switch BL, LOI for visitor on board etc. Serve delivery redelivery notice as per CP. Monitor and be aware of vessel s movement daily. Follow-up with contract parties for supporting documents, e.g. port vouchers for Owners expenses. Verification of port disbursement accounts with Owners/Charterers/Managers. Liaise with brokers, chartering and operations department pertaining to day-to-day voyage issues. Liaise with legal and insurance department on disputed cases. Send new vsl creation request prepare SCA form for new Owrs to acct dept. Settlement of commissions with brokers. Update Chtrs Owrs report (from finance dept) for their month end closing. Update CLI report for follow up with insurance dept. Coordinating releasing of bills of lading, re-documentation and switching of bills of lading when necessary. Coordinating agency appointments, reviewing the PDAs and FDAs. Communicating with charterers, brokers, agents and vessels regarding voyage orders, vessel itineraries etc. Monitoring vessel movements and performances. Reviewing cargo stowage and optimizing cargo liftings, loading unloading sequences. Monitoring hold cleaning plans; including supply of chemicals and supervisors. Ensuring that all cost data is logged and maintained; PnLs for the voyages are kept updated in the shipping system Softmar. Planning bunker supplies and co-ordination with bunker suppliers. Liaising with the PI clubs, legal teams to resolve disputes. Updating various vessel questionnaires and certificates databases. Coordinating extra insurance covers (i.e.: war risk, LoH, KR etc) with owners when necessary. Planning and co-ordinating the embarkation/disembarkation of armed guards on voyages through currently designated high-risk areas. Requirements Minimum 2 years operations experience in dry bulk operations Diploma in Maritime, Operations-related would be advantageous Strong verbal and written communication skills in English
