Ensure accurate preparation and issuance of invoices for car rental services provided to customers.
Review rental agreements and billing information to confirm that charges are correctly applied.
Monitor payment schedules and track outstanding invoices to ensure timely collections.
Generate and distribute monthly billing reports and statements to customers.
Client Account & Team Management:
Serve as a primary point of contact for billing-related queries from customers, internal teams, and external partners.
Address and resolve customer concerns regarding incorrect or disputed charges efficiently and professionally.
Handle escalations related to billing issues and provide timely resolutions to maintain customer satisfaction.
Collaboration and Coordination:
Collaborate with the operations team to obtain accurate rental data, including rental periods, charges for additional services (e.g., insurance, GPS, etc.), and vehicle condition assessments.
Work closely with the finance team to ensure correct accounting of rental transactions and to support reconciliation processes.
Assist with periodic audits of customer accounts to ensure compliance with internal policies and regulatory requirements.
System and Data Management:
Maintain and update customer and billing information in the company's rental management system.
Ensure data integrity and accuracy when inputting rental agreements, payments, and adjustments into the system.
Run reports and assist in the preparation of financial statements related to rental activities.
Dispute Resolution and Reporting:
Investigate billing discrepancies or payment delays and work to resolve them with minimal disruption to customer relationships.
Prepare detailed reports on billing trends, outstanding payments, and potential issues for senior management review.
Qualifications:
Education:
Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
Experience:
At least 2-4 years of experience in billing preferably within the car rental or hospitality industry.
Strong experience with billing software and advanced Excel.
Knowledge of car rental industry practices and pricing models is a plus.
Skills:
Excellent communication and interpersonal skills, with the ability to handle customer inquiries and resolve conflicts.
Strong attention to detail, organizational skills, and the ability to manage multiple tasks simultaneously.
Analytical thinking with the ability to spot errors, inconsistencies, and trends in data.
Problem-solving abilities and experience managing complex billing issues.
High level of accuracy and commitment to delivering quality service.
