SECTION III: PURPOSE OF THE ROLE
Responsible for managing the day-to-day administration of contracts.
SECTION IV: KEY RESPONSIBILITIES AND ACCOUNTABILITIES OF THE ROLE
1.General
Correspondence with Consultants/Contractors/Vendors/Suppliers.
A Good Knowledge & Back ground of Value Engineering & Cost Control.
Maintaining Data Bank of all Contractors/Vendors/Suppliers
2) POST AWARD CONTRACT ADMINISTRATION
Follow up & obtaining of commercial, technical & statutory compliances as per award of
contract
Preparation of Contractor/Vendor evaluation reports
Knowledge of Extra Items/Claims related to various contracts
Record keeping of all Contracts, Securities/BG and related documents.
Should be able to handle Audit related to contracts/wo post award.
3) ESTIMATION / BUDGETING / QUANTITY SURVEYING
Estimation / Budgeting based on current market rates
Tracking of cost / expenses committed & variances with budget
Making / verifying rate analysis as per current market rates
SECTION V: KEY RESULT AREAS
Key performance goals for the role: Critical outcomes of a job contributing to the organization's and role's success Weightage (should add up to100%)
1) Pre Qualification of new bidders and selecting bidders for floating tender Document / RFQ,
2) Getting concurrence from the Design and Operations team on the bidders selected for tendering process,
3) Preparation of Tender Document / RFQ by compiling the drawings, technical specifications, scope of work, BOQ, General conditions and Special conditions and floating the same to in soft copy and / or hard copy to the selected bidders.
4) Arranging & Conducting pre-bid meeting with selected Contractor and Consultant to resolve the technical queries raised by them.
5) Receiving Quotations from the selected bidders and verifying the same technically with given technical specifications and drawings. 30%
1) Verification of drawing if required and BOQ as per requirement at site.
2) Getting quotations from selected 3 vendors for small & regular works as per the scope of work.
3) Preparing comparative statement and conducting negotiation meeting,
4) Selecting vendor based on final no-regret offers.,
5) Preparing Note for Record along with all the supportings and getting it signed from all the officials 40%
1) Create vendor code and Service master in SAP
2) Preparation of BOQ in excel format to enable the Operations Team for raising the Service PR in SAP.
3) Preparing and Floating RFQ through SAP, Maintaining quotations and preparation of Comparative statement.
4) Preparing WO / PO in SAP based on the final approval in note for approval,
5) Amending WO / PO in SAP as per the requirement at site based on existing WO/PO. 30%
