Key Responsibilities:
Administrative Management:
Oversee day-to-day office operations and ensure smooth administrative functioning.
Supervise housekeeping, maintenance, and general office management.
Coordinate with vendors, service providers, and internal departments for operational needs.
Monitor and manage company assets, utilities, and service contracts.
Support HR and Accounts departments with administrative requirements and documentation.
Manage travel, accommodation, and logistics for management and visiting staff.
Maintain proper filing systems, records, and reports.
MD Executive Assistant Responsibilities:
Provide high-level executive support to the Managing Director.
Manage and organize the MD's calendar, appointments, meetings, and travel schedules.
Prepare reports, presentations, meeting notes, and correspondence on behalf of the MD.
Coordinate internal and external communications and follow-ups as directed by the MD.
Maintain confidentiality of sensitive information and ensure timely communication flow.
Assist in organizing company events, meetings, and reviews led by the MD.
Requirements:
Bachelor's degree in Business Administration or equivalent.
Minimum 5-7 years of experience in Administration, with at least 2 years in a senior or executive assistant capacity.
Excellent communication, interpersonal, and coordination skills.
Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
Strong organizational skills and attention to detail.
Ability to multitask, prioritize, and work under pressure.
Professional demeanor, confidentiality, and integrity are essential.
Willingness to work closely with and assist the Managing Director directly.
