The Admin Executive plays a vital role in ensuring smooth day-to-day office operations. This position supports the Admin Manager by handling documentation, office supplies, coordination with vendors, housekeeping supervision, front desk support, and overall facility readiness. The role requires someone who is organized, proactive, and detail-oriented--acting as the "eyes and hands on the ground" for administrative activities.
Key Responsibilities1. Documentation & Filing
Maintain organized physical and digital records (employee files, bills, courier receipts, agreements, etc.).
Scan, photocopy, and file documents as per company standards.
Update shared folders/Google Drive with the latest admin documents.
Collect signatures on documents and circulate them to relevant departments.
2. Office Inventory & Supplies
Monitor inventory levels of stationery, pantry, and housekeeping supplies.
Maintain stock registers and issue logs for departmental supplies.
Inform the Admin Manager about low stock and restocking requirements.
Receive, verify, and report discrepancies in delivered supplies.
3. Courier & Dispatch Management
Handle incoming and outgoing courier and parcel dispatches.
Maintain courier logbooks with tracking details and delivery status.
Share tracking information with concerned teams.
Coordinate with courier companies and vendors for timely dispatches.
4. Housekeeping & Pantry Coordination
Conduct daily physical inspections of office areas including workstations, washrooms, pantry, and common spaces.
Ensure housekeeping staff follow the daily cleaning checklist.
Report cleanliness issues, damages, or maintenance concerns to the Admin Manager.
Coordinate with housekeeping staff for daily tasks and immediate corrections.
Monitor pantry supplies (tea, coffee, water cans, etc.) and arrange refills.
Ensure meeting rooms are properly set up with refreshments and stationery.
5. Meeting Room & Facility Readiness
Ensure meeting rooms are clean, organized, and equipped (stationery, water, AV setup).
Assist with video conferencing or presentation setups when required.
Coordinate minor furniture arrangements for meetings or office events.
6. Front Desk & Communication Support
Attend incoming calls and transfer them to relevant departments.
Greet visitors, issue visitor passes, and maintain visitor records.
Handle basic inquiries and provide general office information.
7. Event & Onboarding Support
Assist in organizing office events, celebrations, and festivals.
Support new joiner onboarding by arranging desk setup, stationery, and welcome kits.
Coordinate with HR for onboarding-related logistics.
8. Admin Reporting & Updates
Share daily task status reports with the Admin Manager.
Maintain admin checklists, task trackers, and follow-up logs.
Track completed, pending, and upcoming admin tasks.
9. General Support Tasks
Assist departments with printing, scanning, and document organization.
Handle urgent or ad hoc administrative tasks as assigned by the Admin Manager.
Ensure internal notice boards and communication displays are updated.
Required Skills & Qualifications
Graduate in any discipline (preferred).
1-3 years of experience in an administrative or office support role.
Basic computer skills (MS Office, Google Drive, email).
Good communication and coordination skills.
Strong organizational and time-management abilities.
Attention to detail and a proactive approach to problem-solving.

Pay: ₹20,000.00 - ₹30,000.00 per month
