Secretary - Roles and Responsibilities1. Administrative Support
Manage and organize office schedules, appointments, and meetings.
Maintain records, files, and correspondence in an organized manner.
Handle incoming and outgoing calls, emails, and official communication.
2. Meeting Coordination
Schedule meetings and prepare agendas.
Take and distribute minutes of meetings.
Ensure necessary arrangements such as venue, refreshments, and logistics.
3. Documentation and Record Keeping
Draft letters, notices, and official documents as required.
Maintain confidential and important records systematically.
Ensure timely filing and retrieval of office documents.
4. Communication and Liaison
Act as a point of contact between management, staff, and external stakeholders.
Relay messages and information accurately and promptly.
Assist in official communication, reporting, and follow-ups.
5. Office Coordination
Support daily operations and coordinate with different departments.
Monitor office supplies and ensure timely procurement.
Maintain attendance, leave records, and daily reports if required.
6. Confidentiality and Professionalism
Handle sensitive information with discretion and confidentiality.
Maintain professionalism and decorum in all official interactions.
7. Miscellaneous
Support in preparation of reports, presentations, and other documents.
Perform any other duties assigned by senior management or the head of the department.
