We are seeking an experienced and highly professional
Secretary to the Managing Director (MD)/Chairman
to provide comprehensive administrative, secretarial, and organizational support. The ideal candidate must be discreet, proactive, and possess excellent communication and organizational skills, with a minimum of
3 years of experience
in a similar executive support role.
Key Responsibilities
Executive Support:
Act as the primary point of contact and liaison between the MD/Chairman, internal staff, and external stakeholders.
Calendar Management:
Proactively manage and coordinate the MD/Chairman's complex schedule, including internal and external meetings, appointments, and travel arrangements (domestic and international).
Communication & Correspondence:
Screen and manage incoming calls, emails, and correspondence. Draft, proofread, and prepare professional documents, presentations, reports, and confidential letters on behalf of the MD/Chairman.
Meeting Management:
Organize, schedule, and coordinate executive-level meetings, board meetings, and committees. Prepare and distribute agendas, take accurate minutes, and ensure timely follow-up on action items.
Travel Coordination:
Arrange and manage all aspects of business travel, including flights, accommodation, transportation, and visa requirements, preparing detailed itineraries.
Office Administration:
Maintain an organized physical and electronic filing system for highly confidential and sensitive documents. Manage office supplies and handle expense reports for the MD/Chairman.
Discretion & Confidentiality:
Handle sensitive information and maintain the highest level of confidentiality and professionalism at all times.
Project Assistance:
Assist the MD/Chairman with special projects, research, and reports as required.
Required Qualifications and Skills
Experience:
Minimum of
3 years of experience
providing secretarial or executive administrative support to a senior executive (MD, CEO, Chairman, or similar).
Education:
A Bachelor's degree or equivalent qualification is preferred. A diploma in Secretarial Practice or Business Administration is a plus.
Technical Proficiency:
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with digital calendar management tools.
Communication:
Exceptional written and verbal communication skills with impeccable grammar and attention to detail.
Organizational Skills:
Superior organizational, time management, and multi-tasking abilities, with the capacity to prioritize effectively in a fast-paced environment.
Interpersonal Skills:
Professional demeanor, strong interpersonal skills, and the ability to interact effectively with all levels of the organization and external contacts.
Proactivity:
Self-motivated, resourceful, and able to work independently with minimal supervision.

Pay: ₹15,000.00 - ₹25,000.00 per month
