The Secretary to the Managing Director provides high-level administrative support, manages

communications, schedules, and confidential information, and ensures the MD's time is optimized

for strategic decision-making. The role demands discretion, strong organizational skills, and excellent

communication abilities.

Key Roles and Responsibilities:



1. Administrative Support

:

? Manage the MD's calendar, including scheduling meetings, appointments, and travel

arrangements.

? Prepare and organize meeting agendas, documents, and presentations.

? Take minutes during meetings and ensure follow-ups on action points.

2. Communication Management:



? Screen and prioritize incoming emails, phone calls, and correspondence.

? Draft emails, letters, reports, and other communications on behalf of the MD.

? Serve as a liaison between the MD and internal departments or external stakeholders.

3. Documentation and Records:



? Maintain organized filing systems (physical and digital) for critical documents.

? Handle confidential and sensitive information with discretion.

? Ensure timely submission and tracking of reports, proposals, or board documents.

4. Office Coordination:



? Coordinate logistics for board meetings, executive sessions, or off-site events.

? Liaise with vendors, clients, and partners as required.

? Monitor office supplies, budgets, and reimbursements related to the MD's activities.

5. Strategic and Project Support:



? Assist in monitoring project timelines and providing regular status updates to the MD.

? Conduct research and prepare briefing materials or summaries as needed.

? Follow up on delegated tasks to ensure progress and completion.

Required Qualifications, Experience & Skills:



? Bachelor's degree in Business Administration or related field.

? Proven experience (5-8years) as an executive assistant or secretary, preferably at the senior

management level.

? Strong command of MS Office (Word, Excel, PowerPoint, Outlook).

? Excellent written and verbal communication skills.

? High level of integrity, professionalism, and discretion.

? Strong organizational and time-management skills.
