As the Group Secretarial Secretary, you will play a pivotal role in supporting the Group Company Secretary and ensuring the seamless execution of secretarial and organizational tasks. This position requires professionalism, confidentiality, and a strong understanding of corporate governance practices.
Administrative Support:
Manage the Group Company Secretary's schedule, appointments, and travel arrangements.
Handle phone calls, emails, and correspondence on behalf of the executive, prioritizing and responding as necessary.
Maintain organized filing systems and databases related to corporate governance and compliance.
Meeting Coordination:
Arrange and schedule board meetings, committee meetings, and shareholder events.
Coordinate meeting logistics, including booking venues, arranging catering, and ensuring all necessary resources are available.
Compliance & Confidentiality:
Handle sensitive and confidential information with the utmost discretion and professionalism.
Cross-functional Collaboration:
Liaise with other departments and teams to facilitate effective communication and cooperation.
Act as a point of contact between the Group Company Secretary and other executives, ensuring smooth information flow.
Special Projects:
Participate in projects related to corporate governance, compliance initiatives, and organizational improvement.
Experience
5 to 8 years of relevant experience in secretarial or administrative roles, preferably in Secretarial or Legal departments.
Industry Preferred
Qualifications
Bachelor's degree of any stream and experience in a secretary role.
Industry knowledge and familiarity with compliance tools like SAP or MS Office are essential
