Job Summary



We are seeking a highly organized, discreet, and proactive

Secretary to the Director

with at least

3 years of relevant experience

. The role involves providing high-level administrative and secretarial support, managing communications, coordinating schedules, and ensuring smooth day-to-day operations of the Director's office.

Key Responsibilities



Manage the Director's calendar, appointments, meetings, and travel arrangements Act as the primary point of contact between the Director and internal/external stakeholders Draft, review, and manage emails, letters, reports, presentations, and official correspondence Coordinate and prepare agendas, minutes of meetings (MoM), and follow-up action items Handle confidential documents and sensitive information with utmost discretion Screen calls, prioritize communications, and respond on behalf of the Director when required Coordinate with various departments to track tasks, deadlines, and deliverables Organize meetings, conferences, and business events as instructed Maintain proper filing systems (physical and digital) and record management Assist in preparing MIS reports and presentations for board/management meetings Support day-to-day administrative activities and special projects assigned by the Director

Excellent verbal and written communication skills Strong organizational and time-management abilities High level of professionalism, integrity, and confidentiality Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) Ability to multitask and work under pressure Strong coordination and follow-up skills Problem-solving mindset with attention to detail

Educational Qualification



Graduate in any discipline (MBA / Diploma in Secretarial Practice preferred)

Experience Requirements



Minimum

3 years of proven experience

as a Secretary, Executive Assistant, or Personal Assistant to senior management / Director

Experience working in a corporate or fast-paced environment Exposure to board-level or senior leadership coordination Strong interpersonal skills and professional demeanor
