The secretary to the chairperson provides comprehensive administrative and secretarial support to ensure the efficient operation of the chairperson's office. The role involves handling confidential information, coordinating meetings, maintaining schedules, and acting as a liaison between the chairperson and internal/external stakeholders.
Key Responsibilities:
Manage and maintain the chairperson's calendar, appointments, and travel arrangements.
Prepare and organize meetings, including agenda creation, minutes recording, and follow-up actions.
Draft, review, and manage correspondence, memos, and reports on behalf of the Chairperson.
Handle confidential and sensitive information with discretion.
Coordinate communication between the chairperson and school departments, management teams, and external partners.
Screen telephone calls, emails, and requests, and handle them appropriately.
Maintain organized filing systems (physical and digital) for easy retrieval of documents.
Assist in the preparation of presentations, official documents, and reports.
Support event coordination and administrative arrangements for school functions or board meetings.
Ensure professional representation of the Chairperson's office at all times.
