Role Overview



The Secretary to the Chairman & Managing Director or Director provides high-level administrative support to the CMD / Director of the organization, ensuring efficient communication, coordination, and management of the MD's schedule and responsibilities.

Key Responsibilities



1. Administrative Support: Provide administrative assistance to the Managing Director, managing correspondence, emails, and documents.

2. Schedule Management: Coordinate and manage the MD's calendar, appointments, meetings, and travel arrangements.

3. Communication: Handle communication on behalf of the MD, including drafting letters, emails, and other correspondence as required.

4. Meeting Coordination: Organize and coordinate meetings, prepare agendas, and take minutes as needed.

5. Confidentiality: Maintain confidentiality of sensitive information and documents related to the MD and the organization.

6. Reporting and Documentation: Prepare reports, briefing papers, and other documents as requested by the MD.

7. Liaison: Act as a liaison between the MD and other departments, stakeholders, or external parties as required.

8. Office Management: Oversee aspects of office administration related to the MD's office, ensuring smooth functioning.

Skills and Qualifications



1. Excellent Communication Skills: Strong written and verbal communication skills.

2. Administrative Expertise: Proven administrative experience, with strong organizational skills.

3. Confidentiality: Ability to handle confidential information with discretion.

4. Time Management: Excellent time management and ability to prioritize tasks.

5. Interpersonal Skills: Strong interpersonal skills for interacting with various stakeholders.

6. Technical Proficiency: Proficiency in office software (e.g., MS Office, email clients).

7. Education: Typically, a graduate degree; professional certification in secretarial practice can be an advantage.
