Job Overview:
The Secretary - Doctor's Coordinator will provide high-level administrative and coordination support to the Managing Director and senior medical team. The role involves handling confidential information, scheduling, correspondence, and coordinating with doctors and unit heads to ensure smooth communication and timely execution of directives.
Key Responsibilities:
Act as the primary point of contact between the Managing Director, doctors, and other departments.
Coordinate appointments, meetings, reviews, and travel schedules for the MD and senior doctors.
Maintain confidential files, correspondence, and reports related to doctors and management.
Follow up on tasks, projects, and pending actions assigned by the MD.
Prepare minutes of meetings, circulars, and official communications.
Support in organizing review meetings, conferences, and internal events.
Liaise with hospital units, HR, and operations teams for updates on manpower, doctor schedules, and performance reports.
Manage calendar, emails, and communication flow for the MD's office efficiently.
Ensure professional communication, discretion, and confidentiality in all dealings.
Requirements:
Graduate in any discipline.
3-7 years of experience as a Secretary / Executive Assistant / Coordinator, preferably in the healthcare or hospital sector.
Strong communication (written and verbal) and interpersonal skills.
Excellent organizational, multitasking, and time-management abilities.
Proficiency in MS Office (Word, Excel, PowerPoint) and email correspondence.
Ability to maintain confidentiality and handle sensitive information.
