Prepare job advertisements, shortlist candidates, and coordinate interviews
Handle appointment letters, contracts, and joining formalities
2. Employee Records & Documentation
Maintain complete staff records (teaching & non-teaching)
Ensure proper documentation as required by CBSE and education authorities
Update staff profiles on CBSE portals (OASIS, SARAS, etc., under guidance of principal / vice principal)
3. Payroll & Attendance
Coordinate with accountant for payroll processing, salary statements, and increments
Maintain attendance, leave records, and staff registers
4. HR Policies & Compliance
Implement school HR policies, service rules, and code of conduct
Ensure compliance with CBSE affiliation by-laws and labor laws
Assist during CBSE inspections and audits
5. Staff Welfare & Performance
Address staff grievances professionally
Support performance appraisal processes
Assist in staff orientation, training, and development programs
Skills & Qualifications:
Graduate / Post Graduate in HR, Management, or related field
Knowledge of CBSE affiliation norms and school administration
Strong communication and interpersonal skills
Proficiency in MS Office / HR software
High level of confidentiality and professionalism
Experience:
Minimum 2-5 years of HR experience (school experience preferred)
Key Responsibilities as PA
Manage daily schedules, appointments, meetings, and arrangements
Handle confidential correspondence, emails, and phone calls
Prepare reports, presentations, and briefing notes
Coordinate meetings, take minutes, and follow up on action points
Act as a liaison between the executive and internal/external members
Organize files, records, and important documents
Assist in decision-making by providing relevant information and reminders
Handle personal tasks as assigned
Maintain professionalism and strict confidentiality at all times
Manage office communications and correspondence
Draft letters, emails, notices, and official documents
Maintain calendars, meeting schedules, and reminders
Maintain filing systems (digital and physical)
Record meeting minutes and distribute them
Support executives in administrative and clerical tasks
Ensure smooth day-to-day office operations
Maintain student, staff and other records
Prepare notices, circulars, reports, and correspondence
Maintain confidentiality of school records
Skills & Qualifications:
Fast Kannada and English typing
Good file and office management
Proficiency in MS Office / Google Workspace
Excellent written and verbal communication and organizational skills
Strong time-management and multitasking abilities
Discretion and trustworthiness
Prior experience as a PA or executive assistant preferred
Attention to detail
Ability to work independently
Computer literacy

Ability to work with students, parents, and staff
