Job Description

Designation Bursar/Head of Admin Team/Department Reporting to Administration GM Admin & HOS Purpose A Bursar is responsible for ensuring efficient functioning of all administrative departments offices and management of school support staff to ensure best in class school facilities for students and staff. The primary purpose of a Bursar will be - a. To ensure (in cooperation with HOS), up-keep, maintenance, management and of the school property and its protection against any damage or loss. b. To look after the day-to-day school management. c. To ensure timely maintenance and repair of school utilities, etc. d. To oversee major renovations / new construction projects etc. in the campus. Organizational Relationships Director GM ADMIN & HOS Head of Admin./Bursar Other admin staff Principle Accountabilities & Responsibilities Outcomes Activities for achieving Outcomes Parent Communication ? Ensure timely notices / circulars relating to transport, etc. are sent to all - staff and parents, after management approves them. ? To make sure that all parent transport related queries are addressed properly. Transport Management ? To make sure that school buses / cabs follow time schedule ? Transport route management ? Managing transport related operations in Shri Connect ? To ensure safety of the children in school transport ? To train the school drivers periodically on traffic rules, children safety ? To ensure bus duty rooster for staff / support staff is followed Canteen Management ? Ensuring high quality standard of food as per requirements of students and staff and in various school functions. ? Carry out periodic checks at the canteen for compliance with Health, Hygiene and food safety protocols. ? Set up required systems and processes to ensure that there are not food related hazards. ? Ensure periodic audits at the canteen vendor cooking area to ensure hygiene and quality. ? Responsible for the smooth and efficient functioning of the Cafeteria ? Ensure provisioning of fresh and good quality food stuff, rations through seasonal rate contracts. ? Ensure efficient waste management systems. Event Management ? Oversee administrative arrangements for all school events ? Coordinate with the concerned agencies to ensure that arrangements are done on time ? Manage school trips and related arrangements ? Stay back in the school during night outs Procurement ? Handle running and capex purchases ? Ensure timely collation of requirements to enable timely purchase ? Manage purchase related inventory ? Ensure proper distribution of purchase inventory based on school needs ? Collating budgetary requirements of all teaching/ non-teaching departments, monitoring committed expenditures as per approved budget, keeping budget holders informed of their balances and ensure timely submission of bills. Office ? Ensuring compliance of all Office Orders issued from time to time. ? Responsible for compliance with all in service rules ? Responsible to structure Admin setup in school, including their appointments. ? Responsible for rationalization and optimization of the non-teaching manpower. ? Ensuring that the school always has adequate insurance cover to include employer's liability, buildings and equipment cover, personal accident, travel insurance and other relevant cover. ? Responsible for hiring of key team members in his/her department. Vendor negotiation and Management ? Ensure proper rates through vendors by proper negotiations ? Ensure timely payments to vendors ? Ensure timely deliver from the vendors Housekeeping ? To supervise house-keeping staff and to ensure that all the classrooms, washrooms, the swing area and other areas of the premise are clean. ? To keep a check on the health and hygiene of support staff. Ensure compliances with statutory health and hygiene, PF, ESIC, police verification regulations and certifications from time to time. ? Stock maintenance of house-keeping items ? Allocation of house-keeping items to support staff ? Procurement of house-keeping items Contractual Staff Management ? Dealing with security guards and cab drivers. ? Dealing with contractors for maids, drivers and guards. ? Regular trainings of support staff and guards. ? Ensure availability of support staff in the premises by coordinating proactively with the vendor. ? Ensure statutory compliances, related to contractual staff, through the vendor ? Leave management of support staff. ? Ensure increase / decrease in number of support staff on campus based on school needs. ? Ensuring that the contractors are adhering to the PF, ESIC compliances and sharing the receipts every month. Repairs and Maintenance ? To oversee repairs and maintenance at school premise and ensure timely correction of infrastructure related issues. ? Ensure upkeep of physical assets like LCDs/Smart boards/Manage AMCs. Safety, Security & Surveillance ? Ensure the upkeep, safety and security of the entire School Estate and assets (movable and immovable). ? Ensure implementation of Safety & Security protocols as per SOP in school. ? Initiate appropriate physical security measures within the school for protection of staff and students. ? Monitor school campus surveillance through CCTV setup. Maintaining contacts with the statutory authorities and other organizations. Who do you interact with Purpose of interaction Frequency HOS along with Admin. Head (if applicable) & others in Admin. team ? To share monthly report on various facilities ? For resolution of any issues in operation ? For issues if any in day-to-day operation Daily/As and when required Class teachers ? To understand the issues in their classroom/ common areas etc. Weekly Contractors ? Reviewing the services taken from various contractors Promoters Need based ? Pertaining to infra. Etc. Need basis Position Specifications Educational Qualification (Minimal Required) Graduation Duration & nature of past experience required (Minimal Required) Experience of minimum 5-7 years in handling an admin. role in a reputed school. Challenges/Complexity of the Role a. The role-holder will need to be flexible about how and where they work, depending on the daily requirements of the role. b. Making sure the school follows all the compliances as applicable. c. Ensuring all school property (furniture & fixtures, equipment etc.) are in optimum condition and are being properly and maintained/serviced timely. d. Ensuring all issues, concerns related to school administration and facility management are resolved in time. e. To be able to adopt a dynamic approach as per the constant changing needs of the school.

Pay: ?100,000.00 - ?150,000.00 per month
