Job Description

A. Operational and Administrative Management

Daily Operations:

Manage and coordinate the efficient day-to-day functioning of the school office and administrative departments.

Scheduling and Logistics:

Oversee the development of master schedules, including class timetables, event planning, meeting coordination, and logistical support for school activities and field trips.

Policy Implementation:

Develop, review, and enforce school policies and procedures related to student attendance, safety, facilities usage, and general conduct.

Compliance and Reporting:

Ensure the school operates in compliance with all local, state, and national education laws, regulations, and reporting requirements.
B. Financial and Resource Management

Budget Oversight:

Assist in the preparation and management of the annual school budget, monitoring expenditures, and ensuring fiscal responsibility.

Procurement and Inventory:

Manage the procurement of school supplies, furniture, equipment, and educational resources. Maintain accurate inventory and stock registers.

Fee Management:

Oversee the process of fee collection, billing, and record-keeping, ensuring financial data integrity.

Facility Management:

Coordinate with maintenance and support staff to ensure the school campus, buildings, and equipment are safe, clean, and well-maintained.
C. Human Resources and Staff Support

Staff Records:

Maintain confidential and accurate employee records, including service books, contracts, and attendance data.

Recruitment Support:

Assist the Principal/Management in the administrative aspects of staff hiring, onboarding, and training programs.

Administrative Supervision:

Supervise, train, and evaluate the performance of office, clerical, and support staff.

Staff Welfare:

Facilitate necessary arrangements for staff professional development and ensure a supportive working environment.
2. Qualifications and Skills

A. Essential Qualifications

Education:

Bachelor's Degree in Business Administration, Education, or a related field. (A Master's degree in Education Administration or Management is often highly preferred or required for senior roles.*)

Experience:

Proven experience (typically 3-5 years minimum) in an administrative or management role, preferably within an educational institution.
B. Required Skills and Competencies

Exceptional Organizational Skills:

Ability to manage multiple priorities, projects, and deadlines in a fast-paced environment.

Financial Acumen:

Competence in basic bookkeeping, budget tracking, and financial resource allocation.

Communication:

Excellent verbal and written communication skills for dealing with diverse stakeholders (students, parents, teachers).

Technological Proficiency:

High proficiency in school management software (e.g., ERP systems, Student Information Systems), MS Office Suite, and data analysis tools.

Leadership and Delegation:

Ability to effectively lead a team of administrative staff and delegate tasks clearly and responsibly.

Problem-Solving:

Strong critical thinking and decision-making skills to address operational issues and crises promptly.

Integrity:

High degree of professionalism and discretion in handling confidential information.
