Enter and manage sales orders, project documentation, and pricing data in CRM/ERP systems.
Maintain sales records, customer files, and product inventory information.
Track open quotes and provide timely updates to sales representatives and customers.
Customer Support
Respond to customer inquiries regarding product availability, lead times, pricing, and technical information.
Coordinate with internal departments--including engineering, operations, and logistics--to ensure timely delivery of HVAC equipment and materials.
Troubleshoot customer issues and escalate complex requests to sales or technical teams.
Assist with warranty registration, returns, and service-related questions.
Technical Support (HVAC-Specific)
Provide basic technical guidance on HVAC equipment such as units, controls, accessories, ventilation systems, and installation requirements.
Interpret product specifications, submittals, and engineering drawings.
Support the preparation of technical documentation, submittal packages, and compliance materials.
Sales Team Support
Assist field sales representatives with scheduling, customer follow-ups, bid preparation, and project tracking.
Generate sales reports and analytics to support forecasting and pipeline development.
Coordinate vendor pricing, promotions, and product updates for the sales team.
Operational Coordination
Work closely with procurement and logistics to monitor order status, shipping schedules, and inventory levels.
Communicate proactively with customers regarding shipment updates, delays, and delivery arrangements.
Ensure accuracy of purchase orders and resolve discrepancies.
