To support the sales function by ensuring smooth coordination between customers, production, PPC, stores, and dispatch, enabling timely order execution, accurate documentation, and high customer satisfaction.
Key Responsibilities
1. Order Processing & Coordination
Receive and process customer orders (POs) accurately and in a timely manner.
Coordinate with PPC for production planning against confirmed orders.
Share order details, delivery schedules, and priority status with plant and dispatch teams.
Track order execution from receipt to dispatch.
2. Customer Coordination
Act as a single point of contact for customers for order status, delivery updates, and routine queries.
Communicate production or dispatch delays proactively to customers.
Coordinate with internal teams to resolve customer complaints related to delivery, quantity, or documentation.
3. Production, Stores & Dispatch Coordination
Coordinate with PPC and production team to ensure orders are planned and executed as per commitment.
Check finished goods availability with stores.
Coordinate with dispatch/logistics team for timely shipment of material.
Ensure correct material, quantity, and packing before dispatch.
4. Documentation & Commercial Support
Prepare and verify sales-related documents such as:
Sales orders
Delivery challans
Invoices
Packing lists
Ensure accuracy of customer details, pricing, and terms
Maintain proper records for audits and reference
5. MIS & Reporting
Maintain daily order status, dispatch reports, and pending order trackers.
Share sales and dispatch MIS with management.
Track order fulfilment performance and highlight risks.
6. Coordination with Finance & Compliance
Coordinate with accounts for billing, credit limits, and payment follow-ups (as required).
Ensure compliance with company policies and statutory requirements.
Key Skills & Competencies
Strong coordination and communication skills
Basic understanding of manufacturing and dispatch processes
Knowledge of sales documentation and GST basics
Proficiency in MS Office
Attention to detail and follow-up skills
Ability to work under pressure and handle multiple orders
Qualification & Experience
Graduate in Commerce / Business Administration / relevant field
2-5 years of experience in a sales support role in a manufacturing setup
